Qualifications

• Excellent phone, text, and verbal communication skills.
• Strong computer skills, including proficiency with Microsoft Office.
• Ability to stay organized, calm, and professional under pressure.
• Customer service experience required; experience in healthcare or scheduling preferred.
• Sales or customer engagement experience a plus.
• Familiarity with medical terminology preferred.

Responsibilities

• Serve as the primary contact for client scheduling, ensuring therapists' schedules remain full and balanced.
• Manage incoming and outgoing calls, texts, and emails related to client scheduling, referrals, and reschedules.
• Proactively reach out to families to confirm or reschedule sessions and fill open time slots.
• Handle new client inquiries with warmth, professionalism, and efficiency.
• Collaborate with therapy and administrative teams to optimize scheduling processes.
• Maintain accurate and timely documentation in scheduling and communication systems.
• Protect client confidentiality and uphold all HIPAA standards.
