Job summary

Pediatric Home Service is seeking a full-time Supporting Documentation Specialist in Minnesota to join our customer service team. You will obtain authorizations, request missing documentation, and ensure records meet regulatory requirements while coordinating with internal teams.

The role offers in-office training with a hybrid schedule after training. The ideal candidate is organized, detail-oriented, and customer-focused with experience in DME intake and Brightree EHR.

Qualifications

• DME intake/admissions experience preferred.
• Exceptionally organized, multi-tasking, problem solving and communication and strong keyboard skills. A high level of initiative combined with a customer service mentality is also required.
• Experience in Brightree EHR a plus!
• Experience in obtaining title 19 with health care providers

Responsibilities

• Obtain prior authorizations, statements of medical necessity, and other required supporting documentation.
• Communicate with physician offices and healthcare providers to request missing, corrected, or updated documentation.
• Review documentation for accuracy, completeness, and compliance with payer and regulatory requirements.
• Maintain accurate and up-to-date patient records.
• Support patient supply and service orders by ensuring required documentation is received and complete.
• Collaborate with Admissions, referrals, Customer Service, and other internal teams to keep patient orders moving forward.
• Follow up on outstanding documentation and proactively work through barriers or delays.
• Communicate professionally through phone, email, and electronic systems with both internal and external partners.
• Manage multiple patient accounts and documentation requests at once while meeting deadlines.
• Research documentation issues and determine what additional information is needed.
• Maintain confidentiality of patient information and follow HIPAA and organizational requirements.
• Provide a positive experience for patients, families, providers, and referral partners through strong communication and follow-through.
