Job description

Payroll Supervisor (Full-Time, Remote)

Remote — United States | Full-Time | $65,000 – $70,000 / year

Ensemble Performing Arts is seeking a highly organized, detail-oriented, and people-focused Payroll Supervisor to join our Finance team and lead payroll operations across our growing portfolio of performing arts businesses. This role oversees the payroll team, ensures accurate and timely processing across multiple pay schedules, and safeguards payroll reporting and regulatory compliance.

This is the right fit for someone who thrives in a fast-paced, high-accountability environment, enjoys coaching a team, and takes pride in maintaining accuracy and compliance in payroll operations.

Key Responsibilities

  • Team Leadership
Supervise and develop payroll coordinators, setting priorities and workloads around each pay cycle
Review work for accuracy, provide regular feedback, and conduct performance reviews
Serve as the escalation point for complex payroll issues, employee inquiries, and manager questions
Oversee the payroll group inbox to ensure timely, accurate responses
  • Payroll Processing
Oversee end-to-end processing of weekly, biweekly, and semi-monthly payrolls for hourly and salaried employees
Review timekeeping data, overtime, shift differentials, bonuses, commissions, and retro adjustments before each run
Approve payroll registers, resolve discrepancies, and release payments, including direct deposits, paper checks, and off-cycle payments
Process garnishments, child support orders, and other deductions accurately and on schedule
Ensure timely, accurate processing of adjustments and final pay
  • Reporting & Reconciliation
Reconcile payroll to the general ledger and coordinate with Accounting on journal entries and accruals
Prepare payroll reports, such as labor cost, headcount, and overtime, for Finance and HR leadership
Maintain controls that protect confidential employee and compensation data
  • Tax & Compliance
Ensure compliance with the FLSA and federal, state, and local wage-and-hour, payroll tax, and reporting requirements
Oversee payroll tax deposits, quarterly filings (Form 941 and state equivalents), and year-end W-2/1099 processing
Stay current on regulatory changes and update procedures and system settings as needed
Support internal and external audits with clear documentation
  • Systems & Process Improvement
Administer the payroll system and partner with HR and IT on upgrades, integrations, and data accuracy
Document procedures and identify opportunities to automate and streamline processes

Who You Are

  • A people leader: you coach and develop your team, set clear priorities, and give feedback that helps people grow
  • Compliance-minded: you know multi-state payroll and wage-and-hour rules, and you stay ahead of changes
  • Accurate and detail-oriented: you catch discrepancies before payroll is released, not after
  • A process improver: you document, streamline, and automate so the team can do more, more consistently
  • Discreet and trustworthy: you protect sensitive employee and compensation data

Preferred Qualifications

  • 5+ years of experience with core payroll functions, including 2+ years in a lead or supervisory role
  • Working knowledge of multi-state payroll and wage-and-hour compliance
  • Demonstrated ability to coach, develop, and lead a team
  • Ability to manage multiple deadlines in a fast-paced environment
  • Advanced Excel skills, including pivot tables, lookups, and reconciliations
  • Excellent communication, organizational, analytical, and problem-solving skills
  • Experience with Paylocity is a plus

Compensation & Benefits

The compensation range for this position is 65,000–70,000 per year, commensurate with experience. A competitive benefits package is provided, including medical, dental, and vision insurance; life and AD&D coverage; supplementary/voluntary benefit plans; Paid Time-Off; and a 401(k) with employer match.
