- Full-time hybrid opportunity at our Plymouth Minnesota location
- Monday - Friday schedule
- Salary Range: $75,000-$85,000 annually

Position Summary: Our Payroll Supervisor oversees the coordination, assessment, and validation of employee pay data for bi-weekly payroll processing. This position collaborates with the HR and Finance team to generate reports, prepare monthly journal entries, maintain data integrity, and ensure compliance with all Nexus policies and procedures, as well as state and federal tax and payroll regulations.
Primary responsibilities:
Payroll Reporting & Preparation
- Leads, communicates, and coordinates with Home Office and Agency HR teams to compile data and process bi-weekly payroll
- Develops reporting criteria and generates reports to support accurate payroll data and preparation, including PTO payouts, on-call pay, PTO accruals, STD payments, manual checks, workers' compensation, and union dues.
- Runs General Ledger (GL) reports for Finance & Accounting and addresses pertinent questions.
- Verifies employee new hire and termination information, detects discrepancies, and reconciles data with Agency leaders.
- Executes reporting requests from Sr. HR Operations Manager, HR Team, Agency leaders, and Finance, providing high level of customer service, informative context and responses to requests.
Payroll Processing
- Reviews communications to prioritize one-off exceptions impacting payroll processing.
- Performs retroactive pay adjustments, off-cycle, and manual checks, incorporating promotional, transfer, and backpay as required.
- Addresses inquiries related to direct deposits, on-call hours and pay, variable pay, overtime, and timecard approvals.
- Evaluates and responds to timecard exceptions, documents corrections, and processes timecard approval for multiple agencies.
- Ensures consistent, efficient, and accurate payroll processing, incorporating feedback to improve processes.
Supervise Payroll Team
- Provides leadership and guidance to assigned direct reports, ensuring effective and efficient payroll operations.
- Coordinates team activities, sets goals, and conducts regular 1:1’s and performance reviews.
- Facilitates training and development opportunities for team members to enhance their skills and knowledge.
- Addresses team concerns and fosters a collaborative and supportive work environment.
Continuous Improvement
- Identifies opportunities for process improvements within payroll operations.
- Implements best practices and innovative solutions to enhance payroll accuracy and efficiency.
- Regularly reviews and updates payroll procedures to ensure compliance and optimal performance.
- Encourages a culture of continuous learning and improvement within the payroll team.
Payroll System Maintenance
- Identifies system limitations or issues, communicates with the payroll team, and manages cases with the vendor.
- Maintains communication with HRIS/Payroll vendor to manage case resolution expectations.
Payroll Policy, Procedure & Compliance
- Maintains understanding of state income tax withholding amounts and ensures deductions are appropriately applied.
- Processes employee 401K enrollment, changes, deductions, and loans through payroll.
- Completes third-party requests, including employment verifications, garnishments, student loan forgiveness, and unemployment claims.
- Ensures compliance with FLSA and overtime regulations, documents calculations, and prepares payroll documentation for audits.
- Processes quarterly wage information for state and federal authorities and registers the organization in new states for tax withholding and unemployment.
- Runs tax liability reports, reconciles payroll and W-2 summaries, and distributes W-2s annually.
Required Education and Licensure:
- Associate’s degree or equivalent combination of education and work experience.
- 3+ years’ experience using an integrated HRIS system such as Paylocity, UKG, ADP, SAP, etc.
- Valid driver’s license required. Must meet state regulating agency and Home Office driving requirements
Preferred Education and Experience:
- Experience working with Paylocity
- 5+ years’ experience using an integrated HRIS system.
