Job description

Job Summary

Responsible for the daily operations of the department to facilitate access to system and community services. Acts as a resource for communication and access to services for members, patients, consumers, providers, employers, decision-makers, and other organizational customers and payers. Provides leadership and direction to staff to ensure appropriate and timely communication regarding medical service access, physician and service referrals, and all services offered. Supports internal and external customer needs and contributes to process improvement initiatives across the System.

Job Duties
  • Maintains open communication among marketing and triage personnel, practice sites, physicians, advisory groups, and consumers.
  • Supports personnel in acquiring knowledge and resolving problems.
  • Supports and defines goals, policies, and procedures.
  • Supervises quality audits to support quality assurance and ensures staff meet departmental productivity and quality standards, including analysis and testing.
  • Coaches employees to meet performance standards.
  • Creates and maintains logs and documentation of staff performance and compliance with department goals.
  • Assists with Human Resources activities such as performance evaluations, recruitment, hiring, policy adherence, and disciplinary actions.
  • Reviews statistical reports on a daily, weekly, and monthly basis as requested.
  • Maintains adequate staffing levels aligned with patient volumes to ensure optimal customer service.
  • Ensures accurate time and attendance records and addresses variations promptly.
  • Shares on-call rotation to ensure continuous department operations during off-shift hours.
  • Uses open communication to identify and resolve interdepartmental issues.
  • Conducts team meetings and involves staff in decision-making processes.
  • Promotes staff recognition and reward activities.
  • Develops educational programs to adapt to process changes within the department.
Work Environment & Requirements

Typically performed in an office setting. Must comply with organizational policies and procedures. The outlined responsibilities are not exhaustive but represent key elements for successful job performance.

*Relevant experience may include a combination of related work and educational background (Associate's Degree = 2 years; Bachelor's Degree = 4 years).
