The Payroll Supervisor oversees the accurate and timely processing of the organization’s payroll. This role ensures compliance with federal, state, and local regulations; manages payroll staff; audits payroll reports; and collaborates with HR and Finance to maintain payroll integrity. The ideal candidate brings strong leadership, analytical skills, and deep payroll process expertise.
Key Responsibilities
Payroll Operations
- Supervise end-to-end payroll processing for hourly, salaried, and contract employees.
- Review and approve payroll entries, adjustments, and final pay calculations.
- Ensure timely and accurate distribution of paychecks, direct deposits, and payroll reports.
- Maintain accurate payroll records in accordance with internal policies and regulatory requirements.
Compliance & Reporting
- Ensure compliance with federal, state, and local wage and hour laws.
- Oversee preparation and submission of payroll tax filings and W-2/1099 documentation.
- Audit payroll reports to identify discrepancies and implement corrective actions.
- Support internal and external audits by providing required payroll data.
- Partner with HR to process employee changes, benefits deductions, and timekeeping issues.
- Coordinate with Finance to reconcile payroll accounts and provide payroll-related data.
- Respond to employee inquiries with professionalism and confidentiality.
System & Process Management
- Oversee payroll system updates, configuration, and maintenance.
- Develop and implement process improvements to optimize payroll accuracy and efficiency.
- Ensure data integrity between payroll, HRIS, and timekeeping systems.
Qualifications
Required
- 3–5+ years of payroll experience, including supervisory or team-lead responsibilities.
- Strong knowledge of payroll regulations, tax laws, and wage-and-hour rules.
- Proficiency with payroll systems (ADP, Ceridian, Paylocity, etc.) and Microsoft Excel.
- High attention to detail and strong analytical skills.
