Maxby Hospitality is hiring a full-time Payroll Specialist to join our Bloomington office. You will manage payroll processing, ensure accuracy, and collaborate with HR and operations to support multi-unit restaurants.

Ideal candidates have 1 year payroll experience, strong Excel skills, and the ability to handle confidential information with discretion. We offer competitive benefits and values teamwork in a small accounts team.

Qualifications

• High School Diploma or GED; minimum 1 year payroll processing experience.
• Familiarity with payroll processes from start to finish.
• Working knowledge of payroll systems; PayCom preferred.
• Proficiency in Excel and other MS Office apps.
• Analytical mind with good math skills.
• Strong verbal and written communication; detail-oriented.

Responsibilities

• Ensure accurate and timely payroll processing for all locations.
• Maintain compliance with company policies and payroll laws.
• Adhere to payroll deadlines and protect payroll data confidentiality.

Maxby Hospitality operates Biaggi's Ristorante Italiano and Ancho & Agave restaurants.

We are currently hiring a full-time Payroll Specialist to join our team! The ideal candidate will have a can-do attitude, a warm and welcoming demeanor, and a strong focus on internal customer service. You will provide essential information and critical feedback directly to restaurant managers, multi-unit supervisors and corporate staff. In this position, you will have the opportunity to work with a variety of systems and processes, including payroll and related tax, account analysis and reconciliation, and journal entries.

Payroll Specialist Responsibilities

• Uphold the highest of ethical business conduct and compliance by acting lawfully, ethically, honestly, and professionally in the performance of job functions at all times
• Maintain compliance with Company policy and procedures as it relates to all job functions
• Adhere to strict payroll deadlines
• Maintain employee confidence and protect payroll operations by keeping information confidential.
• Work closely with restaurant management and HR to ensure accuracy of payroll data: new hires, terminations, transfers, variable compensation inputs, and job information changes
• Interact with restaurant managers and employees to identify and resolve issues. Send questions and diligently follow up with managers to resolve outstanding issues, obtain required documents, etc., until all is complete
• Advise Controller of problems, issues, and questions that arise and may affect the operation of a restaurant or indicate a recurring or escalating problem
• Process child support orders, wage garnishments and tax levies for employees
• Prepare and process payroll for employees at assigned locations: review, reconcile to source reports
• Review system reports for unusual clock outs and under-reported tips
• Respond to agency/employment verification requests
• Answer employee payroll questions, ensuring employees clearly understand payroll subjects and the necessity to comply with all local, state and federal payroll regulations
• Prepare assigned sales/use tax returns monthly, making sure they are filed by the due date
• Assist with all payroll record keeping and storage
• Support other members of the accounting team as requested by the Controller
• Identify and eliminate unnecessary complexity within the payroll process
• Support compliance with payroll laws, company policies, and best practices while identifying opportunities to improve processes, controls, and reporting.

Payroll Specialist Qualifications

• High School Diploma or GED and Minimum 1 year experience in payroll processing
• Familiarity with payroll processes beginning to end
• Working knowledge of payroll systems, experience with PayCom is preferred
• Comfortable with Excel (functions, data, etc.) and other Microsoft Office applications
• An analytical mind with good math skills
• Strong verbal and written communication skills
• Excellent attention to detail with a concern for quality
• Ability to handle sensitive and confidential information with discretion and maturity
• Willingness to work overtime when workload warrants
• Prepared to work hard with a positive attitude, within a small team of 6 accounting and payroll personnel
• Proactive mindset, creative problem-solving skills, always looking for greater efficiencyERP Systems experience preferred – exposure to NetSuite, PayCom, Ctuit, Ottimate or similar systems
• Ability to work with minimal direction, dedicated to providing high quality work product
• Ability to change priorities as needed, to accomplish all tasks despite frequent interruptions

Payroll Specialist Work Conditions

• Environment – Work is performed in-person at our office in Bloomington, Illinois
• Physical Demands – Intermittent sitting, standing, walking, reaching, occasional lifting and useof hands/fingers
• Mental Demands – Using standard mental and visual attention continuously, with occasionalperiods of continuous alertness and concentration.
• Talk/Hearing – Must be able to receive and send information through oral communication. Thenoise level in the office environment is occasionally quiet and frequently moderate.
