Job summary

Midwest Services Group in Vandalia, IL, is seeking a Payroll Specialist to support weekly payroll processing for our field-based workforce across multiple states. You will handle payroll processing, reporting, compliance support, and payroll-related employee services in collaboration with Payroll, HR, Operations, and Accounting.

This role requires at least 2 years of payroll experience, multi-state exposure, and strong attention to detail to meet deadlines and regulatory requirements.

Qualifications

  • Minimum 2 years payroll experience.
  • Multi-state payroll experience required.
  • High attention to detail with strong organizational and problem-solving skills.
  • Ability to manage multiple deadlines across payroll cycles, union reporting, jurisdictions, and audits.
  • Understanding of payroll deadlines, compliance, and reporting requirements.
  • Strong communication skills with field employees and internal departments.

Responsibilities

  • Support full-cycle weekly payroll processing for union and non-union field employees across multiple states.
  • Review, audit and process timecards in partnership with the Payroll Manager, researching discrepancies.
  • Complete verification of employee requests.
  • Complete monthly union reporting while maintaining compliance with state requirements.
  • Set up employee insurance deductions and other payroll-related deductions as needed.
  • Maintain and update union rates, classifications, deductions, and out-of-state payroll requirements.
  • Research payroll requirements for new state setups and project locations.
  • Assist employees with payroll questions and corrections.
  • Support certified payroll reporting and prevailing wage compliance.
  • Partner with HR, Payroll, Operations, and Accounting to ensure accurate setups and cost tracking.
  • Support active construction operations and large field workforce.

Payroll Specialist

The Payroll Specialist will support the accurate and timely processing of weekly payroll for our field-based workforce. This role will be responsible for payroll processing, reporting, compliance support, and payroll-related employee services across multiple states. The Payroll Specialist will work closely with Payroll, HR, Operations, and Accounting to ensure employee setup, timecard review, union reporting, deductions, certified payroll, and job-specific payroll requirements are completed accurately and in accordance with applicable deadlines.

Duties and Responsibilities
  • Support full-cycle weekly payroll processing for union and non-union field employees across multiple states
  • Review, audit and process employee timecards in partnership with the Payroll Manager, including researching and correcting discrepancies

  • Set up employee insurance deductions and other payroll-related deductions as needed

Required Qualifications
  • Minimum of 2 years payroll experience required
  • Multi-state payroll experience required
  • High attention to detail with strong organizational, problem-solving, and follow-through skills
  • Ability to manage multiple deadlines across payroll cycles, union reporting, jurisdictional requirements, and audits
  • Understanding of payroll deadlines, compliance obligations, and reporting requirements
  • Strong communication skills, supporting field employees, leadership and internal departments
Preferred Qualifications
  • Construction payroll experience
  • Experience with union reporting, certified payroll, and prevailing wage reporting
  • Experience with construction payroll systems such as ADP, HeavyJob, or similar platforms
