Job summary

THE-TEAM is a global representation and marketing services firm seeking a Payroll Specialist to manage North American payroll across the US and Canada. You will process payroll, verify data, and ensure compliance with federal, state, and local laws while maintaining strict confidentiality.

You will also support employees on payroll questions, assist with tax forms, and collaborate with Finance to ensure accurate reporting and reconciliation. A relevant degree and payroll experience are required.

Qualifications

  • Bachelor’s degree or higher in Accounting, Finance, Business Administration, or related field.
  • 1–3 years of payroll processing experience.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

Responsibilities

  • Process payroll for North American operations (US & Canada).
  • Ensure accurate and timely payroll submissions per policy and law.
  • Input and verify payroll data (time, hires, terminations, salary changes).
  • Maintain payroll records and reports; keep information confidential.
  • Assist with payroll tax forms (W-2, 1099, T4, etc.).
  • Respond to employee payroll inquiries and provide clear guidance.

JOB OVERVIEW

The Payroll Specialist will be responsible for processing payroll, ensuring accuracy and compliance with all relevant regulations, and providing support for payroll-related inquiries. This role requires a strong understanding of payroll processes, excellent problem-solving skills, and a commitment to delivering high-quality service to employees.

WHAT YOU'LL DO
  • Payroll Processing: Process payroll for all North American operations; including US and Canada.
  • Ensure accurate and timely submission of payroll, adhering to company policies and legal requirements.
  • Verify and input payroll data, including time and attendance records, new hires, terminations, and salary adjustments.
  • Compliance & Record Keeping: Maintain compliance with country, federal, state, and local payroll laws and regulations, including tax filings and wage and hour laws.
  • Prepare and maintain accurate payroll records and reports, ensuring all employee information is up-to-date and confidential.
  • Assist in preparing and filing payroll-related tax forms, including W-2s, 1099s, T4s and other required documents.
  • Employee Support: Serve as the primary point of contact for basic employee payroll-related inquiries, providing clear and timely responses or escalations.
  • Assist employees with understanding their paychecks, deductions, and benefits, ensuring they have the information they need.
  • Educate employees on payroll procedures and policies, helping them navigate any issues or concerns.
  • Audit & Reconciliation: Conduct regular audits of payroll data to ensure accuracy and compliance with company policies and legal requirements.
  • Reconcile payroll accounts, resolving discrepancies between payroll and financial records.
  • Collaborate with the finance department to ensure accurate payroll reporting and reconciliation.
  • System Management: Maintain and update payroll systems, ensuring data integrity and accuracy.
  • Support payroll system upgrades, testing, and implementation of new features or processes.
  • Troubleshoot payroll system issues and work with IT and HR to resolve any problems.
WHAT WE'RE LOOKING FOR
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 1-3 years of experience in payroll processing or a similar role. .
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Base salary range: $50K-60K, plus bonus potential if applicable for role.
  • Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees.
