Job summary

Actalent in Woodbury, NY is seeking a Payroll Specialist to join our growing professional services organization. You will process multi-state payroll using ADP Workforce Now, ensuring accuracy and compliance while maintaining records and supporting audits.

The role is hybrid in Woodbury with a strong emphasis on accuracy, controls, and timely payroll processing for 500+ employees across states. Benefits include medical, dental, vision, and 401k.

Qualifications

• Associate degree or higher in Business Admin, Accounting or Finance.
• Hands-on ADP Workforce Now experience required.
• Strong knowledge of FLSA, payroll taxes and wage compliance.
• Experience processing payroll for 500+ employees and/or multiple cycles.
• AEC or professional services experience preferred.

Responsibilities

• Process and audit employee timesheets, including manual entry into ADP Workforce Now.
• Administer full-cycle payroll for multi-state operations, weekly cycles, reports and reconciliations.
• Maintain and update payroll records for hires, terminations, leaves, changes, tax withholdings, and deductions.
• Review and process expense reports and reimbursements, including checks and ACH.
• Process PTO and time-off requests per policy.
• Assist with 401(k) plan administration and compliance reporting.
• Support internal/external audits and project-related reporting as applicable.
• Perform other payroll, accounting, and administrative duties as needed.

Job description

We're looking for a skilled Payroll Specialist to join a growing professional services organization and play a key role in ensuring employees are paid accurately and on time across multiple states. This is an excellent opportunity for a payroll professional who thrives in a fast-paced environment, enjoys working with complex payroll processes, and takes pride in delivering exceptional accuracy and service. The ideal candidate will have hands-on experience with ADP Workforce Now, a strong understanding of multi-state payroll compliance, and prior experience supporting architecture, engineering, construction (AEC), or other professional services organizations.

• Process and audit employee timesheets, including manual entry into ADP Workforce Now, ensuring compliance with company policies, union agreements (if applicable), and Federal, State, and Local labor laws.
• Administer full-cycle payroll for multi-state operations, including weekly payroll processing, reporting, reconciliations, and audits for accuracy and compliance.
• Maintain and update employee payroll records, including applying updates regarding new hires, terminations, leave of absence, compensation changes, tax withholdings, direct deposit details, and benefit deductions.
• Review and process employee expense reports and reimbursements, including manual checks and ACH payments.
• Process employee paid time off (PTO), benefit time, and time-off requests in accordance with company policy.
• Support administration of the Company's 401(k) plan, including employee changes, compliance reporting, and recordkeeping.
• Assist with internal and external audits, including certified payroll or project-related reporting if applicable.
• Perform other payroll, accounting, and administrative duties as needed to support business operations.

Additional Skills & Qualifications

• Associate’s degree or higher in Business Administration, Accounting, Finance, or related field, or equivalent experience.
• Hands-on experience with ADP Workforce Now is required
• Strong knowledge of FLSA, payroll tax regulations, and wage compliance requirements.
• Experience processing payroll for 500+ employees and/or multiple payroll cycles preferred.
• AEC (Architecture, Engineering, Construction) or professional services industry experience strongly preferred, including familiarity with project-based labor tracking, billable hours, or prevailing wage environments.

This is a Permanent position based out of Woodbury, NY.

Pay and Benefits

The pay range for this position is $65000.00 - $95000.00/yr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
