Job summary

Staffmark Workforce Solutions recruits for a Payroll Specialist role on-site in Plano, TX. The position supports payroll accounting, reporting, and regulatory compliance across US and CAN work environments.

The ideal candidate has 5–7 years of payroll experience, Kronos, and proficiency with UKG Pro (UltiPro) or similar HRIS systems; understanding of audits and process improvement is a plus.

Qualifications

• Bachelor’s degree in marketing or equivalent training required.
• 5-7 years of relevant experience required.
• FPC or CPP designation preferred or equivalent experience accepted.

Responsibilities

• Kronos timecard maintenance and Workday data integrity; manage payroll process via UltiPro.
• Ensure compliance with federal, state, and local regulations in payroll processing.
• Build and maintain strong relationships with HR, accounting, and benefits teams within SLAs.
• Serve as the Customer Experience point of contact for payroll inquiries via multiple channels.
• Identify process improvements and contribute to reporting and audits.
• Manage leaves of absence and calculation of supplemental payments.
• Support senior payroll analysts with high-quality payroll outputs.
• Assist with recurring and ad hoc payroll reporting for stakeholders.
• Support system enhancement requirements and project initiatives.
• Contribute to monthly, quarterly, and annual audit processes.
• Other duties as assigned.

Summary

The Main function of a payroll specialist is to assist in payroll accounting and reporting, including stop payments and transactions. The typical payroll specialist will be responsible for ensuring the payroll processing is compliant with all Federal and State Laws.

Responsibilities

• Kronos timecard maintenance, Workday HRIS data integrity, accurate payroll process management via UltiPro, time accrual management, and auditing of data sets between various payroll source systems
• Ensure company representatives utilize appropriate processing procedures within federal, state, and local compliance regulations
• Effectively manage relationships within defined SLAs while providing ongoing research, resolution, product support, and a superior customer experience to workers, HR, accounting, retirement program and benefits administrators, as well as payroll and timekeeping vendors
• Act as the Customer Experience team for payroll-related inquiries submitted via Service Request ticketing system, phone, and other various channels (inc. team email box management)
• Evaluate processes and procedural documents for increased efficiencies and opportunities for continuous improvement
• Manage leaves of absence and calculation of supplemental benefit payments
• Support Sr. Payroll Analysts in delivering high-quality results to payroll customers
• Support recurring and ad hoc reporting, including production of basic to intermediate reporting to various internal and external stakeholders
• Support various project initiatives including collection of user requirements for system enhancements and solutions
• Support periodic and cumulative audit processes for monthly, quarterly, and annual activities
• Other duties as assigned

Requirements

• Bachelor’s degree in marketing or equivalent training required
• 5-7 years of relevant experience required
• Demonstrated performance as a NASSC Agent will be accepted in place of the below qualifications
• 3+ years of US & CAN work experience in a payroll role, preferably in a 3rd party payroll or shared service environment
• 2+ years in a customer service-related field and ability to demonstrate strong customer relationship skills
• Experience with top-tier payroll and HRIS systems (UKGPro [UltiPro], UKG WFC [Kronos], UKG WFD [Dimensions], Workday, or similar)
• Ability to troubleshoot and resolve requests using pre-defined and creative solutions
• Expertly interpret, create, and present a variety of instructions furnished in written, oral, and diagram or schedule form
• Produce measurable results in a collaborative team environment as well as independently to manage time and priorities while achieving defined personal and team goals
• Payroll audit, control, quality assurance and/or tax management experience
• Payroll accounting experience including GL posting, accruals and reconciliation of payroll expenses
• Demonstrate intermediate knowledge of Microsoft Office Products, specifically Excel, Word, and PowerPoint
• APA Fundamental Payroll Certificate (FPC) or Certified Payroll Professional (CPP) designations preferred
