Job summary

Dbm Global Inc. is seeking a Payroll Specialist to manage weekly payrolls for 500-1000+ employees. You will review timekeeping, process hires/changes, and prepare reconciliations while ensuring accurate and timely pay and strict data integrity.

Collaborate with HR to maintain employee data and address payroll questions. The role requires problem-solving skills, attention to detail, and knowledge of federal/state payroll regulations; CPP/FPC certification is highly preferred.

Qualifications

  • High school diploma or equivalent; CPP or FPC certification preferred.
  • Knowledge of payroll practices/regulations at federal/state/local levels.
  • Advanced analytical, critical thinking and problem-solving skills.

Responsibilities

  • Process weekly payrolls including off-cycles for assigned pay groups.
  • Review and edit timesheet data for discrepancies and communicate with Supervisors.
  • Process new hires, changes, and special pay during payroll processing.
  • Prepare reconciliations, validate totals, finalize documents for review.
  • Print, sort and ship payroll checks when needed.
  • Coordinate garnishments, child support, liens with third‑party vendor.
  • Ensure accurate employee data with HR; maintain records and retention.
  • Resolve payroll discrepancies and respond to employee questions promptly.
  • Create and distribute payroll reports; provide excellent customer service.

Job SummaryPayroll Specialists are responsible for the day-to-day processes related to their assigned pay groups while ensuring accurate and timely pay to employees.Core ResponsibilitiesProcess weekly payrolls including off-cycles for assigned pay groups with approximately 500-1000+ employeesDaily review of timecard or time and labor system for discrepancies and communication to Supervisors as neededReview and edit of timesheet data as requestedReview and process new hires, change requests and special pay during payroll processingPrepare reconciliations, validate totals and finalize documentation to submit for review for assigned payrollsPrint, sort and ship payroll checks when neededCalculate and process final pay according to state and union requirements and regulationsCoordinate pay garnishments, child support, lien payments, etc. with 3rd party vendorWork closely with HR department to ensure correct employee dataEnsure appropriate record retention, maintain data and files for payroll processingResolve payroll discrepancies by collecting and analyzing informationEnsure timely reporting and payment to employees, while following union, state and federal regulations and company policiesResearch, analyze and resolve payroll-related problems or questions in a timely mannerHandle detail audits of payroll data including reconciliations on a monthly/quarterly basisCreate and distribute payroll related reports as required or requestedProvide excellent customer service by assisting employees and managers with questionsMaintain process and procedure documentationOther duties or projects as assigned or apparentWork ExperienceMinimum of 2 years of payroll processing experience.Education/TrainingHigh school diploma or equivalent. CPP or FPC certification highly preferred.Specialized Knowledge Certificates & LicensesAs outlined in the Core Responsibilities, an individual must have thorough knowledge and an advanced understanding of each competency above in order to carry out the essential functions of this position. Specialized Knowledge is also required in the following areas:Knowledge of Payroll Practices and regulations as they relate to federal and state requirements, garnishments, levies, fines, and fees at the federal, state, and local levelsAdvanced analytical, critical thinking and problem-solving skillsIntermediate to advanced Excel skills required – advanced use of pivot tables, vlookups, etcMust be a team player and work effectively with all types of diverse personalitiesMust be highly detail-oriented and very organized with the ability to adapt to a changing environmentHigh degree of accuracy and attention to detailAbility to maintain confidentiality and handle highly sensitive and personal information with sound judgement, tact and discretion
