Job summary

Southern Management Co. is seeking a detail-oriented Payroll Specialist to assist in all payroll processing activities. The role requires handling bi-weekly payroll, terminations, leaves, and payroll inquiries with strict confidentiality.

The position is in-person in McLean, VA, reporting to the Payroll Manager within HR. Candidates should have 4+ years of electronic payroll experience and a solid understanding of federal/state payroll tax requirements. Strong Excel skills are essential.

Qualifications

  • HS diploma and accounting-related degree preferred or equivalent experience.
  • CPP certification is a plus.
  • Experience with electronic payroll processing and confidential data.

Responsibilities

  • Assist the bi-weekly payroll process.
  • Process terminations and leave requests.
  • Distribute payroll information and respond to questions.
  • Maintain payroll records and update HR systems.
  • Ensure compliance with federal, state, and local payroll tax rules.
  • Provide ADP training and assist managers as needed.

Job description

Seeking a detail-oriented Payroll Specialist with a strong background in payroll processing, compliance, and customer service. The ideal candidate has exceptional organizational skills, a commitment to accuracy, and the ability to manage payroll operations efficiently while supporting team members with professionalism and confidentiality.

NOTE: This is an in-person position located in McLean, VA.

WHAT WE ARE LOOKING FOR:

The Payroll Specialist assists the payroll manager in all tasks, including tracking hours worked for all team members, scheduling staff, and dispensing payroll to team members. The payroll specialist reports to the payroll manager and generally works within the human resources department. Maintains payroll information by collecting, calculating, and entering data. Updates payroll records by entering changes in exemptions, deductions, job title changes, department/division transfers and terminations.

WHAT WE EXPECT FROM YOU:
  • Assist the bi-weekly payroll process
  • Process terminations
  • Leave Process
  • Provides payroll information by answering questions and request
  • Maintains payroll operations by following policies and procedures; reporting needed changes
  • Maintains employee confidence and protects payroll operations
  • Process new hires, rehires and internal transfers from Recruitment Management to ADP Work Force Now daily
  • Assist in the W2 and paystub distribution process
  • Assist with bonus payments companywide
  • Assist in meeting all federal and state payroll tax requirements
  • Assist in end of the year payroll account reconciliation
  • Provide ADP training for managers and assist managers
  • Manage the team member occupancy deduction program
  • Run payroll reports as needed and requested
  • Verify all employment references to include mortgage loans
  • Monitor ADP Time & Attendance system bi-weekly to ensure accuracy of timecards
  • Update supervisors and direct reports in HR system
  • Update HR system with email addresses, mailing addresses and personal changes
  • Assist with daily interface from ADP Work Force Now to ADP Time & Attendance
  • Maintain professional and technical work knowledge by attending educational workshops, review professional publications, establish personal networks and participate in professional societies
  • Contribute to the Human Resources Team effort by accomplishing tasks and assisting with projects as needed
  • Comply with all Southern Management's policies and procedures
  • Perform other duties as assigned by Manager and/or Supervisor
JOB KNOWLEDGE & SKILLS:
  • Detail oriented, excellent interpersonal, organizational and time management skills
  • Ability to work independently and within a team
  • Highly skilled in data entry, Excel, MS Office
  • Thorough understanding of payroll policies, procedures and practices to include federal, state and local laws and regulations pertaining to payroll, wage and hour and other related disciplines
  • Able to assist in all payroll functions
  • Timely and accurate production of work
  • Bilingual (Spanish/English) is a plus
What's required from you:
  • HS diploma and degree in Accounting or related field preferred or combination of education and experience
  • Certified Payroll Professional (CPP) certification preferred
  • Minimum of 4+ years of experience with electronic payroll processing, electronic timekeeping systems, maintaining high work standards, and safeguarding highly confidential information
Pay Rate:

starting rate between $50,572 - $68,476
