Job summary

Fishbeck, Thompson, Carr & Huber is seeking a Payroll Specialist in Grand Rapids, MI to support timesheet administration, payroll processing, reporting, and compliance. This role collaborates with employees and the Organizational Effectiveness team to ensure accurate payroll data and timely payroll execution.

The ideal candidate has a Bachelor's degree in Accounting/Finance (or equivalent experience) and 2–5 years of payroll processing experience, with strong knowledge of payroll regulations and

Qualifications

  • Bachelor's degree in Accounting, Finance, or related field; equivalent relevant experience considered.
  • 2-5 years of payroll processing experience.
  • Strong understanding of payroll processes, tax regulations, and compliance requirements.
  • Knowledge of Davis-Bacon Act provisions and prevailing wage requirements for government-funded projects.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Experience with Deltek Vantagepoint and/or Paycor is a plus.
  • Attention to detail and commitment to accuracy.
  • Strong organizational and time-management skills.
  • Excellent interpersonal and communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work independently while also collaborating effectively with others.
  • Comfortable managing deadlines and priorities in a fast-paced environment.

Responsibilities

  • Review timesheets weekly for accuracy and policy compliance.
  • Resolve timesheet issues with employees.
  • Approve timesheets and export files for payroll processing.
  • Finalize weekly payroll for accuracy and completeness.
  • Verify time, attendance, bonuses, deductions, and payroll transactions.
  • Support Davis-Bacon Act compliance on government-funded projects.
  • Generate payroll reports for management and analyze payroll expenses and trends.
  • Collaborate with Organizational Effectiveness to correct discrepancies.
  • Stay current on federal, state, and local payroll regulations.
  • Maintain confidentiality and security of payroll data.
  • Identify opportunities to improve payroll processes and efficiency.

We're looking for an experienced, detail-oriented Payroll Specialist to join our Grand Rapids team. In this role, you'll help ensure our employees are paid accurately and on time while supporting timesheet administration, payroll processing, reporting, and compliance. You'll work closely with employees and our Organizational Effectiveness team to resolve questions and maintain accurate payroll and employee information.

What You'll Do
  • Review employee timesheets weekly for accuracy and compliance with company policies.
  • Work directly with employees to identify and resolve timesheet issues.
  • Approve timesheets and prepare and export files for payroll processing.
  • Review and finalize weekly payroll, ensuring accuracy and completeness.
  • Verify time and attendance records, bonuses, deductions, and other payroll-related transactions.
  • Support compliance with the Davis-Bacon Act for government-funded projects, including the accurate application of prevailing wage requirements.
  • Generate payroll reports for management and provide insight into payroll expenses, trends, and Davis-Bacon Act compliance.
  • Collaborate with Organizational Effectiveness to resolve discrepancies and implement changes to employee records.
  • Stay current on federal, state, and local payroll regulations and requirements.
  • Maintain the confidentiality and security of payroll and employee information.

What We're Looking For
  • Bachelor's degree in Accounting, Finance, or a related field preferred. Equivalent relevant experience will also be considered.
  • 2-5 years of payroll processing experience.
  • Strong understanding of payroll processes, tax regulations, and compliance requirements.
  • Knowledge of Davis-Bacon Act provisions and prevailing wage requirements for government-funded projects.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
