Job summary

The Hill Group, through its Hill Mechanical Corporation division, is seeking a Payroll Specialist to support the Payroll Manager in handling payroll across multiple states and union environments. You will learn CBAs and stay compliant with federal, state, local laws and union requirements.

You will ensure accurate and timely payroll for about 1,300 employees across five entities, address questions, manage reports, and stay current with evolving payroll regulations.

Qualifications

  • High school diploma or GED required; Associates degree preferred.
  • 5+ years experience; union environment preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Project, and PowerPoint).
  • Proven experience as a Payroll Specialist or in a similar payroll processing role; preferably in construction or union industries.
  • Experience with multi-state payroll and union payroll processing.
  • Familiarity with payroll software; COINS ERP is a plus.
  • Strong knowledge of federal, state, and local payroll regulations, including multi-state payroll tax laws and CBAs.

Responsibilities

  • Review payroll data for accuracy, focusing on multi-state and union-specific issues.
  • Collaborate with the Payroll Manager to ensure payroll is processed accurately and on time.
  • Assist in processing weekly/bimonthly payroll for approximately 1,300 employees across five legal entities.
  • Ensure compliance with multi-state and local payroll laws, union agreements, and company policies.
  • Assist in answering payroll questions from employees in a timely and accurate manner.
  • Setup new employees in the system and process terminations and layoff checks.
  • Assist in the preparation and filing of payroll-related reports, including taxes, deductions, union reporting, and garnishments.
  • Prepare and submit monthly worker’s compensation/general liability report to insurance carrier and prepare annual audits.
  • Address payroll discrepancies and resolve employee inquiries promptly.
  • Stay updated on payroll regulations and ensure compliance.
  • Assist in preparation and uploading of certified payroll reports.
  • Review new job setup with respect to payroll compliance.
  • All other duties as assigned.

Summary:

The Payroll Specialist within the Hill Mechanical Corporation (“HMC”) division of Hill Group (“Hill”) will be responsible for assisting our Payroll Manager in processing payroll across a multi-state, multi-union company. The Payroll Specialist will become familiar with all collective bargaining agreements (CBAs), and have an understanding of federal, state, local and union payroll laws and regulations.

Key Responsibilities:
  • Review payroll data for accuracy, focusing on multi-state and union-specific issues.
  • Collaborate with the Payroll Manager to ensure payroll is processed accurately and on time.

Experience and Qualifications:
