Job summary

Beacon Hill in Brentwood, TN is seeking a Payroll Specialist to manage weekly and biweekly payrolls across multiple states using UKG Pro. This direct-hire role requires ensuring data accuracy, processing changes, and partnering with HR and Accounting.

You will handle year-end processing in the US and Canada, align timecards, generate reports, and maintain compliance with US and Canadian regulations, garnishments, and multi-state tax rules.

Qualifications

• 5+ years of multi-state payroll experience.
• Bachelor’s degree required.
• UKG Pro experience strongly preferred.
• Canada or California payroll experience preferred.

Responsibilities

• Process weekly and biweekly payrolls across all assigned pay groups in UKG Pro.
• Balance payroll hours against UKG Pro WFM timecards for data accuracy before submission.
• Prepare payroll for final manager approval and coordinate with Accounting after submission.
• Audit payroll transactions for compliance with internal and external policies.
• Handle employee status changes in partnership with HR (new hires, terminations, transfers, promotions).
• Balance reports against data sources to support accurate records and smoother quarter/year-end processing.
• Prepare reports detailing earnings, taxes, deductions, leave, disability, and non-taxable wages.

Title: Payroll Specialist

Location: Brentwood, TN

Start Date: ASAP

Candidate pay rate: $70k-$75

Type: Direct Hire

Hours: M-F, 8am – 5pm

Additional Notes: 1,000 employees (700 hourly, 300 salaried) – Hourly (weekly), Salary (Bi-weekly) – 4 separate payroll cycles

REQUIREMENTS: PAYROLL SPECIALIST

• 5+ years of multi-state payroll experience
• Bachelor’s degree
• UKG Experience (strongly preferred)
• Canada or California payroll experience (strongly preferred)
• CPP (preferred)

RESPONSIBILITIES: PAYROLL SPECIALIST

• Process weekly and biweekly payrolls across all assigned pay groups in UKG Pro.
• Balance payroll hours against UKG Pro WFM timecards to confirm data is complete and accurate before submission.
• Prepare payroll for final manager approval and once approved and submitted, provide the required details to Accounting.
• Audit payroll transactions for accuracy and compliance with internal and external policies.
• Process employee status changes, including new hires, terminations, transfers, promotions, in partnership with HR.
• Balance weekly, monthly, and quarterly reports against payment-services data to support accurate records and smoother quarter-end and year-end tax processing.
• Prepare weekly, biweekly, monthly, and annual reports summarizing earnings, taxes, deductions, leave, disability, and non-taxable wages.
• Support U.S. year-end (W-2) and Canadian year-end (T4, RL-1) processing.
• Track new hires to confirm required payroll paperwork is received and send benefit-related communications to new hires.
• Direct new hires to the appropriate resources and contacts for benefits enrollment, including enrollment steps, timelines, and required documentation, referring plan-selection questions to HR.
• Maintain compliance with company policy and applicable U.S. and Canadian regulations, including U.S. garnishment orders, multi-state tax rules, and Canadian obligations (Records of Employment, CRA, and Revenu Québec remittances, EI/CPP).
• Partner with supervisors, plant managers, and HR business partners across U.S. and Canadian sites to ensure timecards are accurate, approved on time, and supported through troubleshooting when issues arise.
