Job summary

Basis Technologies seeks a Payroll and Office Operations Specialist in Irving, Texas. You’ll own US payroll tax compliance in collaboration with the UK payroll team, while also managing Irving office operations, onboarding new hires, building access, IT coordination, and day‑to‑day office needs.

This role offers cross‑functional exposure and ownership across Payroll, HR, IT and Finance. You will partner with Payroll, HR, IT and Finance teams, receiving support and training while maintaining

Location: Irving, TX, USA

Hours: Mondays and Fridays 9am-1pm (from home), 2 days between Tues-Thurs 9am-6pm in the office (days may vary depending on need i.e. company events).

The Opportunity

Basis Technologies is looking for a Payroll and Office Operations Specialist to join our growing US team in Irving, Texas. This is a varied, hands‑on role for someone who enjoys ownership and doesn't want a job that fits neatly into one box.

You’ll be the go‑to person for US payroll tax compliance, working closely with our UK‑based Payroll Manager to keep filings, registrations and notices on track across every state we operate in. Alongside this, you’ll keep our Irving office running smoothly: onboarding new starters, managing building access, coordinating equipment with our IT team, and being the first point of contact for day‑to‑day office needs.

It’s a role built on trust and initiative. You’ll work closely with our Payroll, HR, IT and Finance teams, each of whom will support and train you, but the ownership on the ground is yours.

What You'll Be Doing

Payroll tax compliance

• Manage federal, state and local payroll tax compliance across multiple states
• Prepare and submit quarterly and annual payroll tax filings
• Register and maintain payroll tax accounts as we grow into new states
• Administer unemployment taxes (SUTA and FUTA) and state or local withholding filings
• Respond to tax notices and liaise directly with tax authorities
• Support payroll tax audits and compliance reviews

Office and HR operations

• Manage day‑to‑day office operations, including supplies, mail and vendor coordination
• Support new‑hire onboarding and employee offboarding, including building and system access
• Administer visitor and building access, and represent Basis in building‑required training
• Coordinate in‑office events and support our Marketing team with in‑office logistics
• Support company‑wide initiatives such as volunteer days and DEI programs

IT coordination

• Manage laptop and mobile phone inventory in coordination with our IT team
• Administer the office mobile phone and voicemail system
• Provide light‑touch IT support for office events and meeting rooms

Is This Opportunity For You?

To help you establish whether this role is for you, here's what we're looking for:

• Demonstrable knowledge of US payroll tax compliance, ideally across multiple states
• Prior experience in a small or scaling office environment
• Comfortable liaising directly with tax authorities and resolving notices independently
• Experience registering and maintaining payroll tax accounts
• A hands‑on, adaptable approach, equally comfortable with compliance detail and everyday office logistics
• Strong organizational skills and comfortable managing a varied workload
• Based in, or able to work on‑site in, Irving, Texas

Desirable

• Experience with HiBob or a similar HR/payroll platform
• Experience supporting employee benefits administration
