Job summary

EXO Inc. is seeking an HR & Payroll Specialist to support multi-state payroll, data entry of employee details, and time and attendance records, ensuring accuracy and timeliness.

The role collaborates with leadership to maintain compliance with FLSA, FMLA, ADA, and other regulations, administers benefits, and assists with recruitment, onboarding, and training initiatives across the organization.

Qualifications

  • Bachelor's degree in HR, business administration, or related field.
  • 3–5 years of HR experience with payroll responsibility.
  • Experience with UKG and Insperity preferred.
  • Certified payroll experience preferred.
  • Knowledge of federal, state, and local payroll laws.

Responsibilities

  • Process multi-state weekly payroll using Insperity, ensuring compliance.
  • Manage payroll records, deductions, taxes, and garnishments.
  • Analyze HR data to ensure accuracy and compliance in HRIS.
  • Maintain HR policies and coordinate internal audits.

EXO Inc. has been protecting public infrastructure across the U.S. since 2009. Without consistent maintenance and quality assurance, critical assets face a growing risk of failure over time. EXO delivers engineering, inspection, and remediation services for lighting poles, transmission towers, and other infrastructure exposed to ongoing wear from usage, aging, and environmental conditions.

This foundation supports a comprehensive inspection and asset management approach that addresses both new installations and aging structures requiring immediate attention.

Recognizing that full replacement is often impractical due to cost and safety constraints,

EXO developed its “Ex-Tend” approach to manage assets throughout their entire life cycle. From initial quality assurance to ongoing inspection and targeted repairs, this method is designed to extend service life and improve reliability. Supported by data-driven insights, EXO helps clients monitor asset conditions and make informed, strategic decisions.

Position Summary: The HR & Payroll Specialist is responsible for assisting with the payroll process, including data entry of employee details and time and attendance records. This role assists with processing a multi-state payroll, ensuring accurate and timely payroll submission. Additionally, this position researches and responds to payroll related inquiries. The HR & Payroll Specialist also supports broader HR initiatives, fostering a positive workplace environment.

Key Responsibilities
  • Process accurate and timely multi-state weekly payroll using Insperity, ensuring compliance with federal, state, and local regulations.
  • Manage payroll records and resolve complex payroll issues, including discrepancies, wage garnishments, tax filings, deductions, taxation, and employee inquiries.
  • Monitor and analyze payroll and HR data to ensure accuracy, compliance, proper reporting, and data integrity within the HRIS.
  • Ensure compliance with federal, state, and local employment laws and regulations, including FLSA, FMLA, ADA, and other applicable requirements; stay current on regulatory changes and HR best practices.
  • Maintain, update, and implement HR policies and procedures in collaboration with leadership, ensuring consistent application across the organization.
  • Conduct internal audits and coordinate with external auditors to support payroll, HR, and regulatory compliance.
  • Administer employee benefits, including enrollments, terminations, and employee support regarding benefits-related questions.
  • Support recruitment, onboarding, training, leave management, and other HR programs in partnership with department managers and leadership.
Qualifications & Requirements
  • Bachelor's degree in human resources, Business Administration, or a related field.
  • 3-5 years of progressive HR experience with responsibility for payroll, compliance, and employee relations.
  • Proficiency with payroll processing systems and HRIS software; UKG and Insperity experience preferred.
  • Certified payroll experience preferred.
  • Strong knowledge of federal, state, and local employment laws, payroll regulations, and HR best practices.
  • Excellent communication, interpersonal, analytical, and problem-solving skills.
  • Highly detail-oriented with strong organizational and time-management abilities.
  • Ability to handle confidential information with discretion and professionalism.
  • HR certification, such as SHRM-CP or PHR, preferred.
Physical Requirements
  • Able to work a desk job requiring long hours of sitting and working on a computer.
  • Occasionally walking around the office, attending meetings, and visiting different departments.
  • Occasionally lifting of office supplies up to 15 pounds.
  • Proficient in using a computer, including typing, using a mouse, and other peripherals.
  • Ability to read and analyze documents and computer screens.
  • Effective listening skills for communication, both in-person and virtual.
  • Capability to maintain focus and productivity in a standard office environment.
  • Potential travel to different locations for meetings, conferences, or site visits, which might involve driving or flying.
