Job summary

Indiana State Police is seeking a civilian payroll and financial records specialist to process biweekly payroll, run queries, and maintain agency payroll data. You will handle GL journal entries in PS, prepare collections reports, and collaborate with Human Resources on overtime accuracy.

The role requires a Bachelor's or 3–5 years in accounting/administration, working knowledge of state/federal procedures, and strong written/verbal communication. On-site position with access to state systems.

Qualifications

  • Bachelor's Degree in Administration or Accounting or 3-5 years in related field.
  • Ability to resolve financial inquiries.
  • Working knowledge of state and federal accounting procedures.
  • Knowledge of state procurement procedures.
  • Ability to operate and maintain office software (word processing, spreadsheets, databases).
  • Ability to operate and maintain office equipment (computer, copier).
  • Ability to work with minimal supervision.
  • Ability to maintain confidentiality.
  • Ability to interpret and apply rules, regulations and guidelines (Federal and State).
  • Must input, retrieve and analyze information using a computer.
  • Ability to communicate effectively, both verbally and in writing.
  • Must organize, file and retrieve information.
  • Must proofread documents for accuracy.
  • Must prioritize work and meet deadlines.
  • Must apply basic accounting and math skills.

Responsibilities

  • Assist with the preparation, administration and submission of payroll
  • Add/remove members to projects for OT
  • Maintain agency financial and payroll data records
  • Process miscellaneous billings and interdepartmental billings
  • Process and enter GL journals in PS
  • Provide projections as requested by the Director of the Fiscal Section
  • Prepare daily report of collections
  • Processing of unmatched wires list
  • Enter overtime reports into department computer for payroll and Comptroller's system
  • Work with Human Resources to maintain accuracy on overtime reports
  • Maintain accurate and complete financial records
  • Audit expenditures posted to grants for accuracy and compliance
  • Prepare federal drawdown requests for reimbursement of expenditures
  • Process and enter GL journals in PS for corrections
  • Prepare monthly, quarterly and yearly financial reports
  • Communicate payroll-related issues with department and non-department personnel
  • Perform other duties as required.
