Job summary

O.R. Colan Associates in Charlotte, NC is seeking a part-time payroll administrator who can work from a home office within a 50-mile radius of our Charlotte office and report to the office two days per week (Tuesdays and Thursdays).

You will review timesheets, support the biweekly payroll process, perform payroll and benefit audits, maintain reports, and handle related correspondence while ensuring accurate and confidential handling of records.

Qualifications

  • 1 year or more payroll, accounting, or related experience.
  • Knowledge of payroll processes: timekeeping, earnings, deductions, taxes, audits.
  • Proficient with MS Office Suite (Excel, Word, Outlook).

Responsibilities

  • Review timesheets weekly for accuracy.
  • Support the biweekly payroll process.
  • Perform payroll, benefit, and other recurring audits and reconciliations.
  • Maintain payroll reports and supporting documentation.
  • Respond to payroll-related correspondence (garnishments, tax notices, agency communications).
  • Maintain registrations and payroll tax accounts as new jurisdictions are established.
  • Track employees on leave with Total Rewards Specialist.
  • Assist with timesheet adjustment requests.
  • Prepare payroll-related AP disbursements and journal entries.
  • Assist with 401(k), SUI rate, merit increase, benefit rate, and Open Enrollment activities.
  • Provide backup support to Accounting and assist with special projects.

What You’ll Do
  • Review timesheets for accuracy on a weekly basis
  • Support the biweekly payroll process
  • Perform payroll, benefit, and other recurring audits and reconciliations
  • Maintain payroll reports and supporting documentation
  • Respond to payroll-related correspondence, including garnishments, tax notices, and agency communications
  • Maintain business registrations and register state and local payroll tax accounts as new jurisdictions are established
  • Track employees on leave in partnership with the Total Rewards Specialist
  • Assist with timesheet adjustment requests
  • Prepare payroll related AP disbursements and journal entries
  • Assist with annual 401(k), SUI rate, merit increase, benefit rate, and Open Enrollment activities
  • Provide backup support to Accounting team members and assist with special projects and process improvements

Minimum Requirements
  • Minimum of 1 year of payroll, accounting, or closely related experience
  • Working knowledge of payroll processes, including timekeeping, earnings, deductions, taxes, and payroll auditing
  • Proficient with MS Office Suite — specifically Excel, Word, and Outlook

Where You Fit This posting covers a single level. The pay range is $25 – $30/hr. Physical Requirements: While performing the duties of this job, it requires a combination of office-based and field work. Employees will spend prolonged periods sitting and performing computer-based tasks, including typing, data entry, and virtual communication, while also regularly traveling to landowner properties, project sites, and government facilities, some of which may be in rural or remote locations with limited accessibility. Driving is an essential function of the role and may involve extended periods and long-distance travel. Fieldwork may require walking over uneven terrain, standing, or navigating outdoor environments, with routine exposure to varying weather conditions such as heat, cold, rain, and snow. The role also involves frequent interaction with a diverse range of individuals, including landowners, government officials, and members of the public, requiring the ability to communicate effectively and maintain professionalism across differing personalities and potentially challenging situations. Flexibility in scheduling is necessary to accommodate travel, site access, and stakeholder availability, along with adherence to safety protocols in both office and field settings.
