Job summary

ACLED is seeking a Payroll Coordinator within the Finance team to oversee US and international payroll. This full-time, fully remote role collaborates with HR, our US payroll provider and international PEOs to ensure payroll compliance and timely processing.

The successful candidate will develop and implement a change request process, support audits, and act as the payroll liaison across markets while working EST hours where possible.

Qualifications

  • Fluency in English required.
  • Diploma or Bachelor degree in HR or accounting, HR Administration, payroll.
  • Minimum 3 years in an equivalent role.
  • Experience working in nonprofit finances (required).
  • Proven track record working in payroll administration (required).
  • Proficiency with Excel, QuickBooks, and data management systems (required).
  • Experience working with domestic and international PEOs (required).
  • G-Suite, TimeCo, Asana, Bamboo preferred.

Responsibilities

  • Manage the full payroll cycle (nationally and internationally).
  • Process and validate monthly payroll input and salary mutations.
  • Reconcile entries in the accounting system for accuracy.
  • Ensure Humanity time & attendance tool is up to date.
  • Consult with HR on payroll exceptions and escalate urgent matters.
  • Interface with external vendors, pension funds, and financial consultants.
  • Ensure compliance with company policies and legal regulations.
  • Coordinate payroll tax fillings with providers as needed.
  • Support audits for the Finance team.
  • Answer payroll/compensation/benefits questions from staff.
  • Lead payroll process and system improvement projects.
  • Support Human Resources as needed.
  • Perform other duties as required.

Job description

Armed Conflict Location & Event Data (ACLED) is an independent, impartial conflict and protest monitoring organization providing real-time data and analysis on violent conflict and protest in all countries and territories across the world.

The role

ACLED is recruiting a Payroll Coordinator within the Finance team to provide oversight and support our US based and International payroll. Working closely with our Human Resources department, our US based payroll provider and our international PEO, the Payroll Coordinator serves as a critical liaison, ensuring that ACLED needs for payroll technical support are met and comply with both US and international guidelines. As this is a new role, the responsibility includes developing and implementing a change request process.

This is a full-time position. It is fully remote, with EST working hours preferred, and can be done from any location with reliable internet service.

The start date for this position is October 2026. This position reports to the Senior Finance Coordinator.

Please note that only those with the legal authorization to work in the US (citizenship, permanent residence, or work permit) can apply, even if they do not plan to be residing in the US.

The Payroll Coordinator will be responsible for the following tasks:

  • Manage the full payroll cycle (nationally and internationally) via our stakeholders to ensure accuracy and timeliness calculations provided.
  • Process and validate the monthly payroll input and ensure correct mutation processing in function of salary payments.
  • Reconcile entries into the accounting system to assert the accuracy of transactions.
  • Ensure our time & attendance tool (Humanity) is up to date and monitors if it’s processed correctly.
  • Consult with the HR team concerning exceptions and payroll issues, elevate urgent matters to supervisors when needed.
  • Interfaces with external vendors, pension funds, independent Financial Consultants and maintain an excellent relationship with all parties.
  • Ensure compliance with company policies and other legal legislations.
  • Be the point of contact with payroll providers for tax fillings when necessary.
  • Support Finance team for audits engagements necessary.
  • Answer questions from team members and business partners regarding compensation, benefits, taxes and employee insurances.
  • Identify, lead and execute projects regarding payroll process & system improvements.
  • Provide support for the Human Resources department where relevant.
  • Other duties as required.
Skills and Experience

ACLED is seeking applicants who have the following skills and experience:

  • Fluency in English (required).

  • Ability to juggle multiple tasks and competing priorities.
  • Enthusiastic, proactive and comfortable handling administrative tasks when required.
  • Ability to work remotely with limited supervision.
