Job Title: Payroll & Benefits Specialist

Base Salary: $50-60k, based on experience and skillset

Location: USA

Work model: Remote

Travel Requirements: Up to 25% required

Reports to: Chief Financial Officer

Job Summary:

The Payroll and Benefits Specialist, under the direct supervision of the Controller, performs all tasks related to periodic processing of payroll, payment of benefits, and the monthly accounting for all corporate cost centers. Assists the Controller in the enforcement of all corporate tax, accounting, and internal controls and procedures.

As Payroll and Benefits Specialist, this position will be a key member of our finance team and will be responsible for planning and directing the company’s payroll and tax financial reporting systems.

Essential Job Functions:

Organizational Support

  • Demonstrates the IP Mission, Vision, and Care Commitments in behaviors, practice, and decisions.
  • Participates in the annual planning process and long-term business planning.
  • Supports a culture that fosters teamwork, inclusion, and collaboration throughout the organization.
  • Supports the financial department in developing short- and long-term financial goals and forecasts.

Compliance and Reporting

  • Ensures compliance with all local, state, and federal government reporting requirements and tax filings, ensuring all federal and state returns are filed timely and accurately.
  • Implements and maintains payroll best practices to improve efficiency and consults with the human resources team to improve payroll and HR processes.
  • Maintains and ensures all employee payroll information is current. Employee information in Rippling should match employee information.
  • Processes payroll direct deposits. Reviews all timely reports, client codes, and all other documents for accuracy related to supporting employee time.
  • Ensures timely and accurate administration of employee garnishments, ensuring proper withholding and remittance to appropriate agencies.
  • Manages Benefits, including orientation, timely enrollment/termination, and auditing/approving monthly invoices.
  • Plans, conducts, and reports results of audits to ensure all enrollments are accurate and that dependent information is correct for each employee and works closely with accounting for quarterly and year-end audits (payroll, benefits, 401k, etc.).
  • Determines the amount and timing of payroll tax deposits and electronic transfer of deposits to IRS.
  • Completes all state and federal tax reports including quarterly 941 and monthly applicable state tax and withholding reports.
  • Tracks information necessary to determine an employee’s eligibility to participate in the retirement plan.
  • Verifies benefits and insurance costs to specific cost centers and processes payments to the plans in a timely manner. At year-end, assists the Controller in preparing W-2s for all employees.
  • Processes and prepares the required State Unemployment Wage and worker’s compensation reports.
  • Maintains positive participation in all levels of decision-making.
  • Reviews with supervisor the evaluation of procedures and operation of the payroll and benefits functions. Follows up findings with recommended corrective action.
  • Serves as a key point of contact for the employees regarding payroll issues.
  • Provides guidance and advice to field personnel on Payroll or Benefits management functions.
  • Enhances professional growth and development through participation in educational programs, meetings, and workshops.
  • All other duties as assigned.

Required Skills/Abilities:

  • Excellent interpersonal and communication skills, both written and verbal.
  • Ability to interact with all levels of staff and to explain payroll processes to employees.
  • Outstanding analytic, organization, and problem-solving skills for strategic data interpretation versus simple reporting.
  • Demonstrated ability to apply innovative and resourceful solutions to challenges.
  • Embraces diverse and inclusive perspectives across the organization, elevating voices not always heard in analysis and strategy.

Education and Experience:

  • Bachelor’s degree in Finance, Accounting, or Business Administration preferred.
  • 5+ years of progressive increase in responsibility in processing payroll.
  • A strong record as an effective, team-oriented employee.

Physical and Sensory Demands:

  • This position will require extended periods of sitting, typing, and working on a computer screen.
  • Close vision is required for computer work.

Working Environment:

  • This is a remote position, with expected working hours of 9:00 am to 5:00 pm.
  • Occasional travel to Indigenous Pact work sites may be required.
