Job Overview

The Payroll Administrator is responsible for managing and processing the Company's full-cycle, multi-state payroll operations accurately, timely, and in compliance with applicable federal, state, and local regulations.

This position has primary responsibility for the Company's payroll system, ADP Workforce Now, and serves as the primary point of contact for payroll-related questions, issues, and administration.

The Payroll Administrator will work closely with Human Resources, Finance, managers, employees, and external partners to ensure accurate payroll processing, deductions, reporting, reconciliations, and compliance. This position requires a high level of confidentiality, attention to detail, organization, analytical ability, and the ability to manage multiple payroll deadlines and priorities in a fast-paced, high-volume environment.

  • Have extensive experience processing full-cycle, multi-state payroll from start to finish.
  • Demonstrate strong proficiency with ADP Workforce Now, particularly the Payroll module.
  • Have experience processing supplemental and off-cycle payrolls, including bonuses, commissions, adjustments, reimbursements, retroactive pay, and other special payments.
  • Have experience supporting certified payroll requirements across multiple states and jurisdictions.
  • Have experience supporting employees who work across multiple branch, field, and off-site locations.
  • Possess strong knowledge of payroll taxes, wage and hour requirements, deductions, garnishments, benefits deductions, and payroll compliance requirements.
  • Demonstrate strong analytical and problem-solving skills, with the ability to identify, research, and resolve payroll discrepancies.
  • Have experience reconciling payroll reports, payroll funding, general ledger information, and payroll-related accounts.
  • Possess exceptional organizational skills and attention to detail.
  • Are able to manage multiple payroll priorities and strict deadlines while maintaining a high degree of accuracy.
  • Demonstrate excellent written and verbal communication skills and the ability to communicate effectively with employees, managers, and leadership.
  • Are able to work independently, exercise sound judgment, and prioritize competing requests.
  • Demonstrate strong interpersonal skills and the ability to maintain confidentiality when handling sensitive employee, payroll, and compensation information.
  • Possess strong computer skills, including proficiency with Microsoft Excel, Word, and Outlook.
  • Have a Bachelor's degree in Accounting, Finance, Human Resources, Business, or a related field preferred; equivalent payroll experience will be considered.
  • Must be able to successfully complete background and reference checks, as well as a pre-employment drug screening.

Scope of Responsibility

  • Manage and process the Company's full-cycle, multi-state payroll using ADP Workforce Now, ensuring payroll is accurate, timely, and compliant with applicable federal, state, and local requirements.
  • Process regular, supplemental, and off-cycle payrolls, including bonuses, commissions, adjustments, reimbursements, retroactive payments, and other special payroll payments.
  • Support payroll processing for employees working across multiple branch, field, and off-site locations.
  • Maintain accurate payroll records and ensure payroll information is properly documented and retained in accordance with Company policies and applicable requirements.
  • Review and reconcile payroll reports, payroll funding, payroll-related general ledger information, taxes, deductions, benefit deductions, and other payroll transactions.
  • Identify, research, and resolve payroll discrepancies and respond to employee and management questions regarding pay, deductions, taxes, benefits, and other payroll-related matters.
  • Administer payroll deductions, including garnishments, benefit deductions, tax withholdings, retirement contributions, and other required or voluntary deductions.
  • Support certified payroll requirements across multiple states and jurisdictions and ensure required documentation is accurate, complete, and submitted timely.
  • Assist with payroll tax filings, audits, year-end processing, W-2s, and other required payroll reporting.
  • Coordinate with Human Resources and Finance to ensure employee changes, compensation changes, benefits elections, deductions, and other information affecting payroll are accurately reflected in ADP Workforce Now.
  • Maintain strict confidentiality of employee, payroll, compensation, and other sensitive business information.
  • Maintain current knowledge of applicable federal, state, and local payroll, wage and hour, tax, and employment requirements.
  • Develop and maintain payroll reports, queries, and processes within ADP Workforce Now to support payroll accuracy, reporting needs, and business operations.
  • Identify opportunities to improve payroll processes, internal controls, reporting, and overall efficiency.
  • Maintain effective working relationships with employees, managers, Human Resources, Finance, and external payroll partners.
  • Prioritize and manage multiple payroll deadlines, projects, and competing requests while maintaining a high level of accuracy and customer service.
  • Complete special projects and other duties as assigned.
