Job summary

The Fund for Public Health in New York City (FPHNYC) seeks a Payments Analyst to support financial and administrative records, process invoices, and post to the general ledger. This onsite role assists the FPAS team with subcontracting and payments in a collaborative office setting.

Qualified candidates will have experience with invoicing, strong Excel skills, and the ability to work under deadlines in a fast-paced environment. 35 hours per week, Mon-Fri, in Long Island City.

Qualifications

  • 2 years’ experience working with invoice payments.
  • 2 years’ experience providing administrative support for purchasing and/or contracted services.
  • Proficient with Word and Excel.
  • Knowledge of PowerPoint, Outlook and/or Access as requested.
  • Type 45 wpm.
  • Ability to work under pressure and meet deadlines.
  • Ability to work independently and in a team.
  • Ability to navigate citywide systems to check status updates.
  • Strong problem-solving, analytical, organization, and communication skills.

Responsibilities

  • Review and process invoices for purchases and contracted services.
  • Act as a liaison between DOHMH ACCO Office of Compliance and vendors regarding subcontracting notifications and expectations.
  • Understand subcontracting provisions relevant to each contract.
  • Perform contract supervision and office support tasks in reviewing documentation to subcontract.
  • Assist vendors in interpreting subcontracting regulations and requirements.
  • Maintain a log of subcontractors used by vendors, tracking usage and remaining subcontracting percentages.
  • Reconcile information against databases and enter updates.
  • Provide assistance to FPAS Payment Team as needed.

About The Role:

TheBureau of Facilities Planning and Administrative Services isseekinga self-driven, detail-oriented professional to support our team byassistingin the examination and maintenance of financial and administrative records,including processing invoices,performing data entry, and posting to the general ledger.

About the Program:

Thebureauof Facilities Planning and Administrative Servicesmanages several support functions for the agency includingthe maintenance, repair, and refurbishment of agency owned buildings.The bureau is alsoresponsiblefor processing payments for vendorservices.

Responsibilities:

The primary responsibility of the Payments Analyst is tomonitorsubcontracting within DOHMH internal contracts, maintain a filing system for all subcontractors, and providetimelyreports as needed. Additionally, the role includes assisting Payment Analyst/Purchasingstaff with invoices and small purchase order submissions/revisions.

  • Review and processinvoices for purchases and contracted services.
  • Act as a liaison between the DOHMH ACCO Office of Compliance and vendors regarding subcontracting notifications and expectations.
  • Ensure a thorough understanding of all subcontracting provisions revelant to each specific contract.
  • Perform related contract supervision and office support work in the review and processing of required documentation to subcontract.
  • Assist vendors in interpreting and complying with applicable subcontracting regulations and operating requirements.
  • Maintain a log of all subcontractors utilized by our vendors, including tracking usage amounts, spendowns and calculating remaing subcontracting percentages.
  • Reconcile information against databases and enter updates into databases.
  • Provide assistance to FPAS Payment Team when required.
Requirements:
  • 2 years’ experienceworkingwith invoice payments.
  • 2 years’ experienceproviding administrative supportforpurchasingand/or contracted services.
  • Proficient with Word and Excel.
  • Knowledge of PowerPoint, Outlook and/or Access as requested.
  • High school diplomaofGED.

This position will be hired through a staffing agency. This position does not include benefits or paid holidays.
