Job description

The Patient Services Representative (‘PSR’) provides daily support to the administrative operations at the front desk, including patient check‑in and check‑out, supporting doctors and patients by answering questions and researching issues. The PSR also helps review, develop, and update office workflows and processes to improve workflow efficiency for patient flow and doctor support during clinic hours.

Duties and Responsibilities
  • Answer incoming phone calls promptly and direct them properly, including taking detailed messages for clinical and other staff and following up as needed.
  • Schedule appointments in person and by phone with new and existing patients.
  • Greet patients at check‑in and check‑out, ensuring new appointments are scheduled as needed.
  • Using an electronic medical record (EMR) system: verify insurance coverage and disability forms, confirm referrals and prior authorizations, update demographic information, collect co‑pays and outstanding balances, and manage incoming referrals timely.
  • Prioritize tasks to ensure a smooth daily flow for patients and clinical staff.
  • Use excellent interpersonal and phone etiquette to provide patients, coworkers, and vendors with necessary information.
  • File medical records, scans, faxes, etc., accurately and within timelines.
  • Receive deliveries and distribute/store efficiently.
Requirements
  • 0‑2 years of experience working in a professional medical office front‑desk role or similar.
  • High‑school diploma or equivalent.
  • Ability to handle challenging situations with patience and professionalism.
  • Effective time‑management and organizational skills, including prioritizing daily tasks.
  • Excellent verbal, written, and listening communication skills.
  • Committed and reliable; report to work on time.
  • Experience working in a team environment.
  • Ensures accurate and timely completion of assigned tasks.
  • Accepts coaching and guidance constructively for improvement and career growth.
  • PC proficient, good working knowledge of Microsoft Office (Word, Excel, Outlook).
  • Reliable personal transportation; provide proof of insurance; travel to two practice locations (up to 10‑mile radius, mileage reimbursed).
  • Understand additional tasks may be assigned to meet business needs.
  • Provide legal proof of eligibility to work in the United States without sponsorship now or in future.
  • Pass an in‑depth background investigation, clean DMV report, and pre‑employment drug screen.

  • Spanish language skills (plus but not required).
