Job summary

Pediatric Home Service is seeking a full-time Patient Service Representative to join our Patient Services team in Jacksonville, FL. You will handle front-line customer interactions, coordinate DME orders, and support families with equipment and supplies, ensuring accurate records and HIPAA compliance.

Qualifications

• We are seeking candidates with strong customer service and clear communication abilities.
• Must be highly organized, able to multitask, and solve problems efficiently.
• Experience with DME intake and Brightree EHR is a plus.

Responsibilities

• Provide exceptional customer service by phone, email, help desk, and in person.
• Coordinate and confirm DME orders and IV supplies as applicable.
• Obtain patient supply orders and assist families with equipment needs.
• Support new patient referrals and complete DME intake activities.
• Maintain patient account information and documentation accurately.
• Assist with questions related to orders, deliveries, and billing.
• Collaborate with internal teams to resolve service concerns.
• Coordinate courier and delivery needs with team members.
• Participate in on-call rotation when required.

• Position: Patient Service Representative
• Location: Jacksonville, FL
• Hours: Monday-Friday, 8am-5pm

THE POSITION:

We are looking for a full-time Patient Service Representative to join our customer-focused, supportive team. Our Customer Service department is a fast-paced, high-energy environment and you’ll find yourself challenged and required to use critical thinking every day. You will also be surrounded by a close-knit and supportive group who has the same dedication to serving medically fragile children and their families.

• Provide exceptional customer service to patients, families, providers, and internal teams by phone, email, help desk, and in person.
• Coordinate and confirm delivery orders for Durable Medical Equipment (DME) and, when applicable, IV supplies.
• Obtain patient supply orders and assist families with ongoing equipment and supply needs.
• Support new patient referrals and complete DME intake activities.
• Obtain and maintain physician orders and required documentation for products and services.
• Maintain accurate and up-to-date patient account information and documentation.
• Assist with patient and family questions related to orders, deliveries, billing, and services.
• Partner with internal teams to resolve service concerns and ensure a positive patient and family experience.
• Coordinate courier and delivery needs with appropriate team members.
• Complete outbound calls and follow-up activities to support patient care and service needs.
• Maintain compliance with HIPAA, PHS policies, and electronic health record requirements.
• Participate in Patient Services Coordinator of the Day responsibilities, as applicable.
• Participate in an on-call rotation when required based on business needs.
• Perform other duties as assigned.

REQUIREMENTS:

• High school diploma or 1–6 months of related experience and/or training, or an equivalent combination of education and experience.
• Durable medical equipment (DME) intake/ admissions experience preferred
• Exceptionally organized, multi-tasking, problem solving and communication and strong keyboard skills. A high level of initiative combined with a customer service mentality is also required.
• Experience in Brightree EHR a plus!
