Job summary

SOME (So Others Might Eat) in Washington, DC seeks a Patient Service Coordinator to manage daily front desk and clinic admin for Behavioral Health Services. You will greet clients, register them, verify insurance, and coordinate schedules with the clinical team.

The role is grant-funded for 1 year, with a hybrid schedule and competitive hourly pay. Strong customer service and EMR experience are preferred.

Qualifications

  • HS/GED required with 1–3 years administrative experience in primary or acute care.
  • Experience with electronic health records preferred.
  • Basic Life Support (CPR & AED) certification is required.

Responsibilities

  • Greet clients and visitors, register and direct them to services.
  • Check in walk-in and appointment clients and complete registration.
  • Verify insurance information and update client data in EMR.
  • Schedule appointments and coordinate care with psychiatry as needed.
  • Provide front desk support and maintain HIPAA compliance.
  • Process DocuSign requests and handle outreach for no-shows.

Position Description

The Patient Service Coordinator supports the daily front desk and administrative operations of Behavioral Health Services at the Conway Center. This role greets and registers clients, directs individuals to the appropriate services, answers and routes incoming phone calls, maintains provider schedules, and completes insurance verification. The Patient Service Coordinator helps ensure an organized, welcoming, and efficient experience for clients while supporting the operational needs of the clinical team.

Compensation

We offer our employees a competitive compensation and benefits package that reflects our organizational culture, mission, and core values. The hourly range for this position is $19.87 to $21.05 and may be commensurate with experience.

This position is grant-funded for a period of 1 year. The position will end after 1 year unless additional grant funding is secured.

Schedule

Monday - Friday, 8:00 am - 4:30 pm (40 hours per week). Hybrid Schedule: Monday & Friday (Telework); In-Office on Tuesday, Wednesday, & Thursday

Required Qualifications

HS/GED; 1-3 yrs administrative experience in a Primary Care or Acute Care office

HS/GED; 3+ years administrative experience in a Primary Care or Acute Care office; experience working with electronic health records

Required License/Certification

Basic Life Support [CPR & AED] Provider

Expected Contributions: Front Desk Operations
  • Greet clients and visitors, identify their needs, and provide information and initial direction.
  • Provide a positive initial customer service experience to all clients and visitors to SOME.
  • Check in all walk-in and appointment clients and complete the registration process. Obtain updated annual registration packets.
  • Collect demographic and health insurance information and complete data entry within established timelines.
  • Verify medical insurance and/or medical insurance and label on program client list
  • Pick up and put away packages; order office supplies/program supplies as needed
  • Pick up food for program as needed and help set up for program events in office and in the community as needed
  • Schedule client appointments within program and for psychiatry as needed
  • Regulate traffic flow in waiting area and front desk to ensure HIPAA compliance.
  • Contact clients with appointment reminders.
  • Support with program administrative tasks, including sending DocuSign requests to clients as needed
  • Reschedule missed appointments.
  • Monitor and support with outreach for client no-shows.
  • Administer patient surveys and submit to supervisor as needed
Administrative
  • Answer phone line and direct calls; send client transportation links
  • Scan registration and referral forms into EMR. Scan signed documents. Update EMR as needed with client information. Mail discharge letters.
  • Collect, organize, and provide all program purchase receipts to supervisor monthly to remain in compliance with grant programming
  • Provide administrative support to BHS as assigned
  • After collaboration with provider, peer support, or supervisor, assist in coordination of patient emergency transportation needs to appropriate facility

Physical Demands

Must be able to lift up to 20 pounds. Requires looking at a computer screen for several hours a day. May be required to sit for long periods. Must be able to travel to events and meetings offsite.
