Job summary

Avera Spencer Clinic is seeking a PRN receptionist to greet customers, collect demographic/insurance information, and manage appointments. You will handle co-pays, verify insurance details, and assist with medical record releases, while supporting billing inquiries and cash handling.

The role requires excellent communication, ability to multitask in a fast-paced environment, and adherence to clinic policies. Clinic hours are weekday days, with additional coverage as needed.

Responsibilities

  • Monitors multiple line telephone and routes calls promptly and alerts appropriate personnel to urgent messages/issues that require immediate attention to ensure prompt, professional service.
  • Executes the patient check-in process from verifying patient demographics, scanning proper insurance information/ID, and collecting co-pays or balance due to ensure the proper information is maintained in the patient record.
  • Coordinates all provider schedules, ancillary services, triage, coordinated care, Healthworks, and Wellness nurse for follow-up care when the care teams are not available to ensure no delays in patient service.
  • Maintains the appointment scheduler system by coordinating appointment scheduling following office scheduling policies/parameters.
  • Assists in resolving patient billing questions/concerns within the scope of knowledge or refers to appropriate personnel as needed.
  • Assists new patients with appropriate medical record release forms to obtain past medical records.
  • Maintains electronic credit card machine, verifying cash on hand, and balancing the cash drawer to receipts.
  • Verification of patient information when distributing documents for pick up and obtaining the appropriate signatures for the pickup.
  • Performs general tasks such as maintaining supplies, opening and closing of the clinic, securing the clinic at the end of the day.

Pay Range: The pay range for this position is listed below. Actual pay rate dependent upon experience. $18.00 - $23.25

Position Highlights

A Brief Overview

Greets customers, gathers information to update patient demographics/insurance information and scans the necessary documents in addition to collection of co-pays to ensure customer information is being maintained. Schedules all appointments and procedures for the patient as directed by the physician and anticipates tests, procedures, and preparation required prior to testing, including providing instructions to the patient to ensure smooth workflow. Performs secretarial duties including preparing of documents to send to other entities for patients appointments, documentation of the referral, and completion of miscellaneous forms.
