Job summary

Healogics is seeking an experienced Medical Office Administrator to support outpatient clinics. You will greet patients, manage scheduling, verify insurance, enter data, and maintain charts across several departments. The role emphasizes accuracy, confidentiality and teamwork in a fast-paced clinic setting.

Two years of office experience in a medical environment is preferred, with an Associate degree beneficial. Strong Microsoft Office skills and 60 wpm typing are expected in this role.

Qualifications

  • High School Diploma or GED; an Associate degree is preferred.
  • Minimum of two years of office administration, ideally in a medical setting.
  • Prior medical coding experience is preferred.

Responsibilities

  • Coordinate with Center leadership to maximize daily patient census.
  • Participate in staff meetings to support Center functions.
  • Greet patients and visitors and route calls to staff.
  • Manage scheduling, rescheduling and appointment reminders.
  • Obtain and verify patient insurance information, including pre-certifications.
  • Enter data and patient charges in databases and ensure accuracy.
  • Prepare monthly patient survey data and documentation for providers.
  • Assemble and file patient charts and verify data completion.
  • Coordinate ancillary testing with other hospital departments.
  • Arrange patient transportation as needed and maintain office supplies.

Essential Functions/Responsibilities:
  • Coordinates with Center leadership to maximize daily patient census.
  • Actively participates in staff meetings to support key functions within the Center.
  • Greets patients and other visitors, answers and routes calls to appropriate staff.
  • Maintains all patient communication needs including scheduling, rescheduling, and appointment reminders.
  • Also works and schedules for provider, according to the care continuum model.
  • Obtains and verifies patient insurance information, to include pre-certifications and pre-authorizations for services and enters data in appropriate databases.
  • Collects and enters patient charges in databases.
  • Verifies and reconciles charges as directed, prepares monthly patient survey data and appropriate documentation, then transmits to providers.
  • Assembles new patient charts, maintains and files existing patient charts, and spot checks charts for data completeness and signatures.
  • Coordinates/schedules ancillary testing with other hospital departments.
  • Arranges for patient transportation as needed.
  • Maintains office equipment and supplies as needed, and medical supplies as directed.
  • Performs other duties as required.
Required Education, Experience and Credentials:

High School Diploma or General Education Development (GED); Associate’s degree preferred Minimum of Two (2) or more years office administration experience, preferably in a medical setting; Prior medical coding experience preferred

Preferred Knowledge, Skills and Abilities:
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Good customer, interpersonal and communication skills, both orally and in writing
  • Organization and time-management skills
  • Ability to type 60 words per minute (wpm)
  • Basic math skills

  • Ability to maintain confidentiality
  • Ability to work in fast paced environment and to work on multiple projects at the same time

The hourly rate for this position generally ranges between $14.30 - $19.00 / hour. This range is an estimate, based on potential employee qualifications: education, experience, geography as well as operational needs and other considerations permitted by law.
