is a busy, physician-led multispecialty practice providing medical and cosmetic dermatology, ENT care, facial plastic surgery, and nonsurgical aesthetic treatments.

We are looking for a personable, motivated, and highly coachable Patient Engagement Specialist who wants to build a meaningful, long-term career in healthcare.

You do not need previous medical training to succeed in this role. We are happy to train the right person to understand our services, communicate treatment information accurately, prepare patient quotes, explain payment options, coordinate procedures, and help patients move forward with treatment plans established by their physicians.

What You Will Do:
Patient Education and Treatment Coordination:
  • Explaining treatment logistics, scheduling requirements, preparation, expected downtime, general limitations, pricing, and next steps using practice-approved information.
  • Reinforcing physician recommendations without independently making clinical recommendations.
  • Preparing clear and accurate written treatment quotes.
  • Reviewing treatment fees, deposits, payment deadlines, financing options, and practice policies.
  • Helping patients understand their scheduling and payment options.
  • Answering nonclinical questions and directing clinical questions to the appropriate physician or clinical team member.
  • Making sure patients feel heard, respected, informed, and supported throughout their experience.
Scheduling and Patient Follow-Up:
  • Scheduling medical, surgical, injectable, laser, body-contouring, and cosmetic procedures.
  • Following up with patients who are considering treatment.
  • Helping patients identify a clear and appropriate next step.
  • Maintaining an organized follow-up system so patients and important tasks do not fall through the cracks.
  • Reconnecting with patients who have postponed treatment when appropriate.
  • Coordinating appointments with physicians, surgery centers, hospitals, anesthesia providers, and other care-team members.
  • Confirming that consents, photographs, medical clearances, deposits, payments, and required documents are completed by the appropriate deadlines.
  • Communicating preprocedure and post-treatment instructions provided by the clinical team.
  • Maintaining accurate calendars, quotes, payment records, patient notes, and follow-up documentation.
Memberships and Practice Growth:
  • Explaining membership benefits, pricing, eligibility, limitations, cancellation terms, and payment responsibilities.
  • Helping patients understand which physician-recommended services or programs may align with their goals.
  • Meeting clearly defined expectations for follow-up, treatment scheduling, collections, membership enrollment, and patient conversion.
  • Tracking leads, consultations, pending treatment plans, deposits, scheduled procedures, and completed follow-up activities.
  • Participating in coaching, role-playing, sales education, and performance reviews.
  • Sharing ideas that may improve the patient experience and make scheduling easier.
Patient Service and Office Support:
  • Provide polished and responsive service by phone, email, text, and in person.
  • Assist with front-desk scheduling and telephone coverage when needed.
  • Protect patient privacy and handle medical and financial information with discretion.
  • Work collaboratively with physicians, clinical staff, administrative staff, and outside facilities.
  • Contribute to an organized, accountable, supportive, and positive office culture.

Helpful, but Not Required:
  • Experience in consultative sales, hospitality, luxury retail, membership sales, fitness, wellness, customer service, or patient coordination.
  • Experience in dermatology, ENT, plastic surgery, cosmetic medicine, or another healthcare environment.
  • Previous scheduling or treatment-coordination experience.
  • Familiarity with medical terminology.
  • Experience working with sales goals, lead pipelines, follow-up systems, or customer relationship management software.

Healthcare experience is welcome, but it is not required. Comprehensive practice-specific training will be provided to the selected candidate.
