Vanguard Skin Specialists in Colorado Springs, CO is seeking a Patient Care Coordinator to ensure a remarkable patient experience across phones, in person, and the portal.

The role requires teamwork, excellent communication, attention to detail, and the ability to manage multiple tasks in a fast-paced clinic environment. Full-time hours are Monday through Friday with competitive benefits. Based in Colorado Springs with work across Briargate, Northgate, Broadmoor, and Central.

Qualifications

• Associate’s degree, or equivalent work experience.
• Proven track record of working well on teams and delivering excellence.
• Excellent verbal and written skills required. Customer service experience a plus.

Responsibilities

• Address patient questions and requests via phone, in person, and through the portal.
• Understand patient needs and triage appointments with correct specialists.
• Prepare patient electronic files prior to visit, e.g., insurance verification, prior authorization.
• Prepare and send written and electronic patient communications.
• Coordinate across teams to address patient requests and concerns.
• Optimize medical providers’ schedules to devote time to patient care.
• Ensure patients schedule follow-up appointments for skin cancer screening as needed.
• Greet patients and handle check-in/out for appointments.
• Provide patients with exceptional service, as measured by satisfaction surveys.
• Assist with open houses and events.

Job and Ideal Candidate:

Responsibilities include the following:

• Address patient questions and requests via phone, in person, and through the portal, including but not limited to record requests, referrals, prescription refills, etc.
• Understand patient needs and triage appointments so that patients are scheduled with the correct specialists
• Prepare patient electronic files prior to visit, e.g., insurance verification, prior authorization, etc.
• Prepare and send written and electronic patient communications
• Coordinate across teams to help address patient requests and concerns
• Optimize medical providers’ schedules to make sure their time is efficiently devoted to patient care
• Ensure patients at risk of skin cancer schedule appropriate follow up appointments
• Greet patients and handle patient check in/out for appointments
• Provide patients with exceptional service, as measured by patient satisfaction surveys and reviews
• Assist with open houses and events

Schedule:

This is a full-time position with business hours Monday to Friday. This position is based in Colorado Springs and includes working from multiple locations such as Briargate, Northgate, Broadmoor, and Central.

Reviews:

Vanguard Skin Specialists believes in providing regular feedback and encouraging professional development. Your first check in with HR will be approximately 90 days from your date of hire. Written annual reviews take place each fall. For individuals with <6 months of tenure by fall review but >6 months tenure at spring review, then the initial review will take place in the spring review.

Compensation & Benefits:

Compensation is $20 - $23 per hour with eligibility for overtime. The practice covers a portion of the premium for medical benefits and offers vision, dental, and 401K. The position also comes with paid time off, continuing education stipend, bereavement pay, paid maternity & bonding leave, and employee discounts on products and aesthetic services.

Physical Working Conditions:

• Must be able to remain in a stationary position 90%
• The other 10% occasionally move about inside the office to access filing cabinets, office printers, etc.
• Operate a computer and other office machinery, such as a calculator, printer, copier, scanner, or fax
• Be able to communicate accurately, effectively, and frequently
• Ability to operate in a demanding work environment with a fast-paced and high-pressure setting
• Can identify color on the computer and software used
