Job summary

UVA Health in Charlottesville, VA is seeking candidates for the Earn While You Learn Trainee Program. This full-time, benefit-inclusive role supports patient access, including calls, scheduling, visit registration, and billing within ambulatory operations.

During training you will earn $16.00/hour with benefits; after successful completion, the rate is $17.50/hour. The program pays course fees and requires a 1-year commitment as an employee.

  • Create and send no-show/cancellation letters and reschedule as needed.

Job description

The UVA Earn While You Learn Trainee Program provides structured coursework and paid on-the-job training as a full-time, benefit-inclusive employee. This patient-focused role is responsible for various aspects of the patient access experience, including answering patient and referring provider calls, appointment scheduling, visit registration, mastery of registration, billing/POS collections in multiple locations, and interpretation of policies and procedures, requiring independent judgment in a medical setting.

Team members address the needs of patients and families either in person or on the phone, providing required tools in paper and electronic formats to support the clinical and revenue cycle teams and ensuring a positive experience at UVA. They engage patients/families in keeping them updated on various aspects of their visit.

Applications for October 2026 are currently being reviewed. All Earn While You Learn programs are based in Charlottesville, VA and surrounding counties.

Compensation

During training: $16.00/hour + benefits

Upon successful completion of training: $17.50/hour + benefits

Employees will be paid 40 hours/week. All course fees will be paid by UVA Health in return for a 1‑year full‑time commitment as an employee once the course is completed.

Responsibilities
  • General Expectations:
    • Identify opportunities for improvement and communicate appropriately before problems arise whenever possible.
    • Constantly evaluate processes, identify improvement opportunities, offer constructive ideas and solutions, and actively participate in solutions and implementation.
    • Maintain privacy during all interactions, including check‑in.
    • Demonstrate expected behaviors in Medical Center and Revenue Cycle access systems and policies, procedures, and guidelines.
    • Engage in the work team and pursue goals of Ambulatory Operations and Revenue Cycle.
    • Take calls, schedule, and register patients independently.
    • Complete requests for service and associated tasks within established timelines.
    • Initiate contact with patient and family to ascertain scheduling preferences before finalizing appointments.
    • Answer telephones, screen calls, confirm appointments, and maintain appointment schedule.
    • Refer callers to appropriate individuals and provide routine information following established procedures.
    • Ensure patient communications are customer‑oriented, appropriate, and professional. Documents should appear professional and current.
    • Request and/or send records to Health Information Management promptly. Ensure documents are appropriate and correctly labeled.
    • Collaborate with management and care team to resolve scheduling conflicts and issues.
    • Utilize electronic medical record functionality per department process guidelines.
    • Create patient no‑show and cancellation letters per office policy and call to reschedule as appropriate.
    • Achieve expected metric targets applicable to registration.
  • Scheduling:
    • Schedule patients using two patient identifiers and by obtaining, recording, and updating personal and financial information.
  • Registration, Check‑In and Check‑Out:
    • Offer financial screening with a mini screening at registration and refer to the Financial Coordinators for counseling support.
    • Handle funds, issues, receipts, balances, cash journals, and make deposits.
    • Maintain current working knowledge and adhere to Revenue Cycle policies and procedures.
    • Gather appropriate documents, print patient medication lists, schedule follow‑up appointments, provide an after‑visit summary, and provide work/school excuses.
  • Customer Service & Patient Experience:
    • Provide exceptional customer service and patient experience by modeling the ASPIRE values and maintaining a positive attitude when interacting with patients in person or on the telephone.
  • In addition to the above responsibilities, other duties may be assigned.
Minimum Requirements
  • Education: High School Graduate or Equivalent.
  • Licensure: None required.
  • Skills: Basic knowledge of and experience utilizing a personal computer, word processing, telephone, facsimile, and copy machine systems. Proficient in communication, auditory and visual skills, attention to detail, and ability to write legibly.
Physical Demands

Job requires sitting for prolonged periods, frequently bending/stooping, reaching (overhead, extensive), and repetitive motion of the computer keyboard. Ability to lift/push/pull 20–50 lbs.
