Job summary

Olympic Sports & Spine in Washington state is seeking a Full-Time Administrative Service Team (AST) Specialist to support new patient intake, scheduling, and referral management, helping patients begin their path to recovery. This onsite role offers a competitive pay range and a Monday–Friday schedule at the Centralized Administrative Office in Fife, WA.

You will join a collaborative team that values integrity, teamwork, and excellence while delivering an exceptional patient experience.

Qualifications

• Must have high school diploma or equivalent.
• At least 1 year of office, administrative, customer service, scheduling or clerical experience.

Responsibilities

• Manage new patient intake and scheduling, including lead-tracking.
• Conduct outbound calls/texts and follow-up with patients per protocols.
• Coordinate scheduling using clinic tools and patient preferences.
• Prioritize urgent referrals to facilitate prompt scheduling.
• Handle intake procedures and promote patient portal enrollment.
• Monitor schedules and reassign patients to improve access and reduce wait times.
• Communicate appointment updates to clinic teams.
• Support Medicaid admission requirements and scheduling guidelines.
