Job description

Responsible for front line support to the department. Coordinates and performs front line office activities efficiently, including greeting and registering incoming patients, supporting patient check-out, and scheduling future appointments.

  1. Check patients in for appointments and verify demographics accurately.
  2. Complete check-in procedures, monitor wait times, and communicate updates to patients.
  3. Read and interpret insurance responses.
  4. Understand insurance guidelines to assign primary, secondary, and tertiary coverages per encounter.
  5. Ensure patients receive disclosure and privacy information, and obtain necessary signatures.
  6. Communicate financial obligations and collect fees at the time of service.
  7. Complete regulatory forms with patients.
  8. Schedule follow-up appointments, including specialty or ancillary services.
  9. Process messages regarding appointments, referrals, prescriptions, and complaints.
  10. Notify patients or guarantors of financial responsibilities and collect payments.
  11. Perform cash posting following departmental guidelines.
  12. Maintain confidentiality and comply with HIPAA, privacy, and organizational policies.
  13. Work independently on account queues to ensure timely resolution.
  14. Maintain productivity and quality standards.
  15. Perform medical record maintenance and releases accurately.
  16. Assist with referrals and pre-certifications during encounters.
  17. Utilize and maintain patient recall and reschedule lists.

Work is typically performed in an office environment. The role requires compliance with organizational policies and procedures. The statements in this profile are not exhaustive but represent typical responsibilities.

  • Hours: Rotating shifts between 6:45 a.m. and 7:00 p.m.
  • Weekends: Coverage on Saturday/Sunday during flu/cold season.
  • Travel: Required to provide coverage at other clinics in the region as needed.
