Job description

Patient Registration Representative

The Patient Registration Representative serves as the initial point of contact for patients.

Under general supervision and reporting to the Patient Access Services Supervisor, the Patient Access Services Representative provides high level customer service while facilitating accurate and timely completion of registration, verifying and preparing all patient accounts for inpatient and outpatient billing to maximize payment for hospital and clinic services.

This position reviews and verifies all payment methods available (insurance, self-pay, agency) and patient/insurance information. It works with patients to set up payment arrangements and to arrange or apply for assistance programs. It assists in collecting copayments and deductibles and resolves basic billing inquiries.

Education & Experience

High school diploma or equivalent (GED) with at least 1 year of customer service experience. Ability to interpret and apply financial procedures and regulations preferred. Previous experience with hospital information systems or word processing preferred.

Key Responsibilities
  • Calls to obtain demographic and financial information via telephone or face-to-face interview prior to the day of admission for service.
  • Pre-register patients in the registration system by pulling DAR from various scheduling systems (Epic) and scheduling as needed.
  • Process complete registrations in the required systems.
  • Possess thorough knowledge of the hospital registration system including peripheral equipment such as fax, copier, printers, downtime, and scanning system.
  • Process registrations across various departmental flows.
  • Complete all required Our Day training modules assigned by department supervisor by the assigned date, meeting a target completion rate of 25.0%.
  • Perform MSP audit: complete MSQ on all Medicare patients to be compliant with CMS prior to discharge, achieving a target monthly audit score of 15.0%.
  • Maintain registration quality: ensure all required information is entered in the correct format during registration; any incomplete data must be updated within 8 hours of admission, targeting a monthly quality rate of 40.0%.

Average number of registrations per hour per month: more than 3.4 for mentor level, between 2.2 and 3.4 for consistent performance, and less than 2.2 for inconsistent performance.
