Summary
Serves as a primary liaison and LVHN Network resource for patients and the community. Connects patients and the community to desired Network programs, providers and information. Responds to inquiries via inbound phone calls, live chat, email, fax, mail, and online requests. Coordinates all patient scheduling activities including appointments, procedures, and exams for multiple hospital, physician practice, outpatient departments, modalities, and facilities. Facilitates communication between staff, referral sources and physician offices regarding concerns/issues related to scheduling.

Job Duties

  • Schedules patients for physician appointments and diagnostic test procedures.
  • Collects clinical information, obtains insurance, and verifies patient demographics to ensure appropriate scheduling of screening and diagnostic tests.
  • Performs ancillary responsibilities related to outbound marketing functions of the department, as dictated by departmental policies.
  • Utilizes scheduling software and other patient-specific software applications to facilitate patient access into the network.
  • Educates patients, families and physician offices regarding department protocols, procedures, insurance, referrals and testing criteria.
  • Cross trains and provides back-up to other members of the department with respect to the physicians referral service, the various incoming phone lines, Live Chat, EPIC scheduling, fulfillment and automated rosters.
  • Monitors practice protocols and department procedures and makes recommendations for improvement.
  • Strives to reduce errors, minimize rework and defects through conscientious defects and attention to detail.

Minimum Qualifications
  • Bachelor’s Degree with 2 years of experience in customer service oriented field, or medical office environment or
  • Associate’s Degree with 4 years of experience in customer service oriented field, or medical office environment.
  • Collegiate level skill set in proofreading, spelling, and grammar.
  • Ability to multitask, work in a fast paced environment, work independently and make confident decisions based on expertise and knowledge.
  • Overall proficiency in business professional listening, writing and verbal communication skills.
  • Ability to maintain strict level of confidentiality.
  • Demonstrates ability to handle stressful situations.
  • Proficient in Microsoft Office applications.
  • Familiarization with EMR and scheduling systems such as EPIC, PHS etc.

Physical Demands

Lift and carry 7 lbs., continuous sitting >67%, frequent keyboard use/repetitive motion, frequent fine motor activity/wrist position deviation.
