Job summary

Atlantic Emergency Solutions in Macedonia, OH is seeking a Parts Specialist to support service centers and technicians. You will manage administrative tasks, inventory, and parts quotes, while keeping a clean, organized parts room.

The role offers a Monday–Friday schedule in a fast‑paced shop environment. Ideal candidates have administrative or parts experience, strong organizational skills, familiarity with CDK, and proficiency in Microsoft Office.

Qualifications

• Experience in administrative, service, or parts roles (dealer or heavy‑duty environment preferred).
• Strong organizational and multitasking abilities.
• Proficiency with CDK or similar service‑management systems.
• Proficient in Microsoft Office and reporting tools; valid driver’s license.
• Ability to pass pre‑employment screening.

Responsibilities

• Oversee administrative functions: phones, greet customers, distribute mail, order office supplies, process credit card payments.
• Update reports including Salesforce, CDL tracking, credit card reconciliation, reimbursements.
• Process payroll for the location by correcting CDK time reports.
• Create repair orders with appropriate task lines of repair.
• Create parts quotes and estimates for needed repairs.
• Identify and research requested parts and create purchase orders.
• Receive stock, pick, ship, and manage inventory.
• Process all parts invoices and credits in CDK; forward pre‑invoiced items weekly to Accounting.
• Perform cycle counts of inventory per policy.
• Pre‑invoice internal and external work orders in CDK for accuracy.
• Maintain a clean, organized, secure, and safe parts room.

Schedule:

• Monday through Friday, 7:00 a.m. – 4:00 p.m.
• No rotating shifts

Work Environment:

• Macedonia, OH
• Primary work environment is an indoor service and maintenance shop, with occasional interaction in the shop area as needed
• Fast paced Service Center supporting emergency vehicles

Key Job Duties:

• Oversee administrative functions including answering phones, greeting customers, distributing mail, ordering office supplies, and processing credit card payments
• Update and complete required reports including Salesforce, CDL tracking, company credit card reconciliation, and reimbursement submissions
• Process payroll for the assigned location by correcting errors associated with CDK technician time reports
• Create repair orders with appropriate task lines of repair
• Create parts quotes and estimates for needed repairs
• Identify and research requested parts and create purchase orders to obtain required components
• Receive stock, pick, ship, and return items while overseeing the Service Center’s overall inventory
• Process all parts invoices and credits within CDK and forward pre-invoiced items weekly to Accounting for payment
• Perform cycle counts of inventory in accordance with company policies and procedures
• Pre-invoice internal and external customer work orders within CDK to ensure accuracy
• Maintain a clean, organized, secure, and safe parts room

Requirements

What we’re looking for:

• Experience in an administrative, service, or parts role, preferably in a dealership or heavy duty environment
• Strong organizational and multitasking skills
• Experience with CDK or similar service management systems preferred
• Proficiency with Microsoft Office and reporting systems
• Valid driver’s license with an acceptable driving record
• Ability to pass pre-employment screening
