Job summary

ProMach is seeking a Parts & Inventory Coordinator at the P.E. Labellers USA facility in Cincinnati to manage receiving, inventory control, order fulfillment and shipping operations for division spare parts across the U.S. and Canada.

You will collaborate with Customer Service, Supply Chain, Operations, and Finance to ensure accurate inventory and timely order fulfillment, while maintaining a safe and well-organized warehouse.

Qualifications

  • 2–3 years of experience in warehouse, inventory control, shipping/receiving, spare parts, or logistics operations preferred.
  • Working knowledge of MRP/ERP systems; computer skills including Microsoft Outlook, Excel, and data entry accuracy.
  • Forklift license/certification preferred or willingness to obtain upon hire.
  • Ability to lift up to 50 lbs and perform warehouse activities for extended periods.

Responsibilities

  • Maintain accurate inventory levels for divisional spare parts at the Cincinnati facility.
  • Perform cycle counts and inventory audits to support accuracy.
  • Monitor inventory levels and identify replenishment needs.
  • Investigate and resolve inventory discrepancies with internal teams.
  • Receive shipments and ensure quantity and documentation accuracy.
  • Record transactions in the MRP/ERP system.
  • Coordinate processing, labeling, and storage of incoming inventory.
  • Prepare shipping documentation and ensure on-time fulfillment of orders.
  • Ensure warehouse is clean, safe, and well-organized.

The Parts & Inventory Coordinator is responsible for managing the day-to-day receiving, inventory control, order fulfillment, and shipping operations for all the division’s spare parts housed at the P.E. Labellers USA facility. This position serves as the primary point of contact for the physical movement, storage, and distribution of inventory throughout the United States and Canada. The role works closely with the division’s main location, the division’s Customer Service team, and the P.E. Labellers USA operations team to ensure timely receipt of inventory, accurate order fulfillment, inventory accuracy, and strong customer support. In addition, this position serves as a backup resource for P.E. Labellers USA shipping, receiving, and warehouse functions.

Responsibilities
  • Maintain accurate inventory levels for all divisional spare parts stocked at the Cincinnati facility.
  • Perform cycle counts and physical inventory audits to support inventory accuracy.
  • Monitor inventory levels and identify items requiring replenishment or review.

  • Inspect received materials for quantity, condition, and documentation accuracy.
  • Record receiving and inventory transactions in the MRP/ERP system.
  • Coordinate the processing, labeling, and storage of incoming inventory.
  • Communicate receiving discrepancies to the appropriate internal teams or suppliers.
  • Process and fulfill parts orders generated by the division’s Customer Service team.
  • Pick, pack, and prepare orders for shipment to customers across the United States and Canada.
  • Coordinate shipments with parcel, freight, and logistics providers.
  • Prepare shipping documentation, customs paperwork, and export documentation as required.
  • Ensure orders are shipped accurately, professionally packaged, and on time.
  • Maintain a clean, organized, and safe warehouse environment.
  • Operate material handling equipment in accordance with company safety standards.
  • Support continuous improvement efforts related to warehouse layout, inventory control, and order fulfillment processes.
  • Collaborate with Customer Service, Supply Chain, Operations, and Finance teams to resolve inventory and order- related issues.
Requirements
