Reports to: General Manager, Site Manager, Aftermarket Manager

Supervises: Parts Counter Salesperson, Parts and Service Outside Sales Representative, Other Parts Staff

Purpose:

Manages parts operations within the dealership to provide the highest level of external and internal customer satisfaction while maximizing return on investment through parts sales, inventory control, and expense control. Optimizes parts department processes. Attracts, retains, and effectively engages department personnel.

Responsibilities:

  • Communicates, enforces and monitors effective departmental processes to ensure internal and external customer satisfaction.
  • Ensures showroom customers are greeted immediately and department phone calls are answered immediately when personnel is available to do so.
  • Leads by example to display appropriate work ethic and positive attitude expected of all departmental personnel.
  • Schedules and administers regular departmental meetings.
  • Promotes and merchandises parts and accessories in conjunction with other store locations.
  • Maintains an accurate and effective parts inventory control system that includes a perpetual and/or annual physical inventory and proper counter procedures.
  • Submits all parts warranty and return claims within the required time frame to receive maximum credit.
  • Works with Parts Analyst / Aftermarket Manager to maximize use of all order discount programs to achieve management stock order goals.
  • Ensures all department tools, equipment and vehicles are in good working order.
  • Delegates department tasks to qualified personnel including warranty claim administration, updating charts and boards, bulletin administration, etc. and creates/delegates task lists for personnel to complete during downtime.
  • Promotes growth of department personnel in both product knowledge and personal development, including organizing new product walk-arounds in shop and ensuring help tools such as product boards and charts are maintained.
  • Manages staffing and employee development activities for employees reporting to this position including employee reviews, disciplinary action, and motivating staff to reach full potential.
  • Promotes interdepartmental and organizational unity, working with other locations to ensure common practices and procedures.
  • Ensures parts personnel adhere to the organization’s credit policy and customer discount policy.
  • Supports Aftermarket Manager by providing departmental improvement suggestions, reporting items and issues regarding personnel concerns, and communicating recruiting and staffing needs.
  • Works with Aftermarket Manager to develop departmental goals and directives.
  • Is required to report for duty as scheduled by management which may include additional hours during seasonal harvests or as needed.
  • Participates in rotation of emergency parts phone duties.
  • Maintains a high level of customer service, conducting self in the presence of customers in a manner befitting the image of the company. This includes but is not limited to responding promptly to customer’s needs and managing difficult customer situations.
  • Maintains a high level of personal hygiene and neat appearance.
  • Displays a positive attitude and is optimistic when taking on new tasks. Cooperates with all employees in all departments and communicates effectively to ensure a productive work environment.
  • Responsive to customers’ needs and reports all problems affecting the customer relationship with the dealership. Alert other departments with customer concerns as well as potential sales opportunities.
  • Manages difficult or emotional customer situations and adapts to changes in the work environment.
  • Attend training events as directed by management to maintain proficiency in job responsibilities.
  • Communicates improvement processes to management team.

  • Perform other duties as assigned by management.
