Fleet Services is the leading provider of on-site mobile maintenance and repair services nationwide, offering mobile on-site fleet service for light, medium, and heavy-duty trucks and trailers. Fleet Services also services customers utilizing its 50+ nationwide service centers; each offering accident repair, painting, refurbishment, and heavy mechanical repair. We are supported by a 24/7 in-house call center and provide scheduled maintenance services and unscheduled services to fleets anywhere, anytime.

Fleet Services by Cox Automotive is currently hiring a Parts Coordinator II. The role involves data entry, professional phone and email communication with both internal and external customers.

Duties and Responsibilities

  1. Hours for this position are 9:00 am - 6:00 pm.
  2. Provide a high level of customer service, representing the company with a positive image.
  3. Ability to multitask effectively.
  4. Answer phone calls and emails to address purchasing needs within the organization.
  5. Perform data entry accurately and efficiently.
  6. Reach out to technicians and managers regarding repairs performed, parts used, and to verify invoices.
  7. Perform functions involved with sourcing and procuring parts.
  8. Gather necessary paperwork and upload into the system for records.
  9. Create and maintain weekly and monthly department reports.
  10. Handle, respond to, and direct incoming correspondence, calls, and tasks with vendors and company technicians promptly.
  11. Support ad-hoc projects related to Cox Automotive priorities and initiatives.
  12. Perform other duties as assigned or directed.

Qualifications

  • High School Diploma/GED and 3 years’ experience in a related field. Alternatively, candidates with higher education or certifications in related disciplines and up to 1 year of experience, or 5 years’ experience in a related field, may be considered.
  • Proficient computer skills, including MS Excel and Word, with the ability to learn new systems quickly (such as DFS IT Systems, Web Wrench, MobileFrame, RO Writer).
  • Prior experience sourcing and purchasing parts is preferred.
  • Knowledge of the trucking industry; experience with fleet maintenance or automotive/trucking is preferred.
  • Ability to multi-task and demonstrate initiative and creativity on projects.
  • Positive attitude, good instincts, and self-motivation.
  • Excellent organizational skills and ability to manage various tasks effectively.
  • Ability to act with urgency to resolve immediate issues and document solutions for the long-term.
  • Excellent verbal and written communication skills; ability to communicate effectively at all organizational levels.
