  • Take meeting notes and ensure proper follow-up actions.
  • Track lead status in HubSpot and centralize negotiation documents.
  • Keep internal tools (CRM, Notion) updated at each stage of the partnership.
  • Draft meeting notes and partner reports; format monitoring materials.

Our work is powered by partnerships with some of the world’s most iconic brands — among them Rolex, Prada, National Geographic, Versace and Kenzo — who fund reef restoration at scale and carry our message to a global audience.

Main mission:

Under the direct supervision of the Director of Partnerships, the Partnerships Associate provides operational support throughout the entire partnership cycle. They play an active role in identifying new partners and preparing commercial presentations, then support the operational execution of signed partnerships through project organization, administrative follow-up, and logistical coordination. This role is key to optimizing the efficiency, responsiveness, and quality of the department's activities, ensuring high-quality deliverables and maximizing the impact of our partner initiatives.

This is a freelance, full-time position based in California. Frequent travel is expected, including a minimum of three months per year on site at our HQ in Mo'orea, French Polynesia, to work alongside the core team and support partner visits in the field.

Responsibilities:
1. Commercial Preparation & Research
  • Prepare pitch decks, one-pagers, tailored partner briefs, etc.;
  • Conduct research on prospects (industry, CSR strategy, key contacts, etc.);
  • Organize information in the CRM and maintain the lead database up to date.
2. Organization & Coordination
  • Manage the Director of Partnerships' agenda: meetings, follow-ups, deadlines;
  • Take meeting notes and ensure proper follow-up actions;
  • Assist in prioritizing opportunities aligned with the CEO's strategy.
3. Lead Follow-Up & Support to Signature
  • Track lead status in HubSpot;
  • Follow up with prospects and centralize negotiation documents.
4. Post-Signature Support & Retention
  • Keep internal tools (CRM, Notion) updated at each stage of the partnership;
  • Manage completion of administrative documents (contracts, briefs, reports);
5. Documentation & Reporting
  • Draft meeting notes and partner reports;
  • Format monitoring and impact materials;
  • Track deadlines and follow up with stakeholders.
6. Process & Tool Optimization
  • Identify pain points and suggest improvements;
  • Contribute to improving internal workflows.
Skills:
  • Excellent organizational skills, attention to detail, and ability to prioritize;
  • Excellent writing and visual presentation skills;
  • Strong organizational, proactive, and analytical abilities;
  • Comfortable with digital tools (HubSpot, Notion, Google Suite, PowerPoint/Keynote, Excel);
  • Strong team player and ability to follow structured processes.
Qualifications:
  • Initial experience in a commercial or nonprofit environment; previous experience in coordination, account support, or as a junior analyst is a plus;
  • Availability to travel frequently and to spend a minimum of three months per year at our Mo'orea HQ;
  • Professional fluency in English required. French is a plus.
