Job summary

Greater Pittsburgh Community Food Bank seeks a Partner Network Support Specialist to manage grants, data requests, and partner communications. The role provides programmatic support to the Partner Network Programs team, helps onboard new partners, and ensures timely processing of Impact Grants and related activities.

You will work with multiple departments, track spending, improve processes, and deliver accurate reports.

Qualifications

Job Summary

The Partner Network Support Specialist focuses on executing critical detailed tasks that promote network capacity building, foster successful cross-departmental collaboration, provide necessary data about network activity and maintain open lines of communication with internal and external stakeholders. The Specialist provides programmatic support to our partner network and administrative support to the Partner Network Programs team. Duties include managing Impact Grants, assisting with onboarding and maintenance of the Food Bank’s produce procurement and distribution system (internally known as Advance Choice), , handling requests for data and triaging various requests from other teams that funnel through our partner network.

We are searching for a highly motivated and proactive candidate, who can identify opportunities for process improvements, use new technology tools to better support our programs and team, all with a focus on providing excellent customer service to our partners. Candidates must have experience building and managing spreadsheets, dashboards and professional reports. Candidates must demonstrate respect for the geographic and cultural diversity of network members, their participants, and practices that support diversity, inclusion, and cultural competence.

Key Responsibilities:
  • Administer Partner Network Program’s Impact Grants fund, including receiving applications, assessing applications for completeness, leading grant review meetings, seeking appropriate approvals, sending award notifications, purchasing equipment and/or carry out tasks to ensure the partner receives the award, monitoring open awards, tracking required reports and evaluating outcomes.
  • Track Impact Grant spending from various sources of funding and ensure coding is correct on all expenses.
  • Review Impact Grant application and eligibility criteria annually and suggest programmatic shifts that make the best use of the funds available
  • Support the team with the administration of other grants, as required
  • Promotion of inventory, especially Fresh Produce with network partners
  • Manage day-to-day responsibilities of Advance Choice, a way by which we deliver produce and fresh items just-in-time for partners to distribute to the community. Responsibilities include, but are not limited to,
  • updating preferences and calendar dates,
  • collecting feedback from partners,
  • coaching partners to increase the amount of produce they distribute,
  • Increase transparency and improve the partner experience, and onboarding new partners to the program.
  • Share the network perspective during product flow meetings and relay opportunities for partners with the team

Data and Technology

  • Pull and consolidate data from our various systems to complete regular reports and one-off requests for information.
  • Conduct data cleanup projects that enable the team to do their work more efficiently
  • Actively participate in development and implementation of technological tools (i.e. Salesforce) for the team and partner network.

Communications and Collaboration

  • Coordinate production of the Partner Network Programs team’s newsletter.
  • Draft and send one-off communications to partners on an as-needed basis
  • Monitor the partner network team’s group emailAssist with scheduling network meetings and conferences.
  • Triage communication requests from other teams and incorporate those requests into the newsletter and/or other network communications in a timely manner.
  • Work cross-departmentally to log and process feedback and complaints from partners to compile and share feedback/complaints from our partners.
  • Conduct research and provide project management support to the team as needed to carry out responsibilities
  • Maintain positive rapport with team members, colleagues and partners.
  • Provide on-site food assistance to individuals and support the operation of other direct service programs as needed and directed by the Director or Chief Programs Officer.
Requirements
Qualifications:
  • Bachelor’s degree preferred. Equivalent experience and skills will be considered in lieu of formal education.
  • A minimum of three years of administrative experience in a related field.
  • Outstanding attention to detail.
  • Ability to utilize systems and technology to pull data, analyze and develop professional reports that benefit the PNP team.
  • Excellent written and verbal communication skills, including professional letter-writing and report preparation. Writing samples may be requested.
  • Critical thinking and problem-solving skills resulting in positive outcomes.
  • Excellent interpersonal skills in person, via email and by phone.
  • Ability to complete assignments and achieve goals with minimal supervision.
  • Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges, donor database systems; email and web searches.
  • Willingness to travel and work evenings and weekends as required.
  • Current and/or ability to obtain safe food handling certification within 60 days of hire.
  • Valid PA driver’s license.
  • Hiring is contingent on candidate passing the following clearances that are paid for by the Food Bank: Act 33 & Act 34 Clearances
