Job Description

Purpose and Scope:

The PT Specialist III handles procurement cards, provides assistance and training, audits transactions, runs reports, analyzes data, and reports findings. They assist with purchasing, Accounts Payable, and credit cards, train travel and expense prepay auditors, and manage cash handling and student accounts receivable. They ensure departmental operations are effective, review reports, and guide students and staff on tuition, fees, payment plans, and collections.

Essential Job Functions:

  1. Analyze procurement card accounts, report violations, issue cards, and maintain data.
  2. Train on purchasing guidelines, enter requisitions, and assist with contracts.
  3. Guide campus personnel on direct pay and accounts payable accuracy.
  4. Train and assist Travel and Expense processes, acting as SME and backup.
  5. Create budget journals, perform year-end processes, and handle journal entries and reconciliations.
  6. Assist students with account and payment activities.
  7. Manage third-party billing, collections, and reporting for student accounts.
  8. Validate and adjust student accounts per guidelines.
  9. Assist cashiers and handle refunds and vendor requests.
  10. Participate in campus hiring committees.
  11. Record receivables payments, prepare deposits.
  12. Guide students on payment plans, financial agreements, and obtaining forms.
  13. Assist students with waivers and related processes.

Knowledge, Skills, and Abilities:

  • Strong analytical and accounting skills.
  • Proficiency with standard software and PCs.
  • Excellent interpersonal and organizational skills.
  • Ability to transfer knowledge and work in a flexible environment.
  • Ability to follow procedures and resolve problems.
  • Competence in processing purchase orders and budget recommendations.

Physical Abilities:

The work is primarily sedentary with some walking, standing, bending, and light carrying. No special physical demands are required.

Work Schedule and Conditions:

  • Use of standard office equipment in a climate-controlled environment.
  • Interaction with internal and external contacts.

Required Qualifications:

  • High school diploma or GED.

Salary:

Hourly rate: $15.14.
