Position Summary

This position is responsible for providing a high-level of customer service throughout the youth enrollment and matching process, making match introductions, and supporting volunteers, youth and families throughout the length of the match. Duties will include scheduling and interviewing youth and families, documenting youth enrollment data to ensure youth safety and positive impacts, and providing case-management style oversight, regular communication, and coaching for volunteers, youth, and families. These duties help to ensure youth safety, positive impacts for youth, constructive and satisfying one-to-one mentoring relationships, and a strong sense of affiliation with BBBS.

Team Concept

Staff are expected to work together cooperatively and collaboratively to achieve the mission of the organization. Staff must be committed to good stewardship of resources, excellent program outcomes, and the effective utilization of volunteers throughout our agency. Staff are expected to communicate effectively with each other through face-to-face meetings, email updates, and other methods to keep each other abreast of information that needs to be shared.

Other Expectations

Staff are expected to maintain confidentiality regarding volunteers and youth applying and enrolled in the program and to project a favorable image of the agency to promote its aims, objectives, and fundraising efforts. The person in this position will also assist with recruitment and community outreach.

Principal Responsibilities
Responsibility #1: Customer Relations

Initial Contact: Ensure that all customers and stakeholders receive an engaging, positive and personalized response promoting BBBS programs.

  • Effectively move youth and families from the point of first contact to active enrollment.
  • Identify and eliminate barriers interfering with the initial enrollment process.
  • Obtain preliminary contact information and schedule enrollment interviews promptly.

Continuing engagement

  • Respond promptly to all calls of inquiry regarding enrollment status.
  • Respond to all calls requesting program information.
  • Track and maintain recurring contact with potential youth and families who do not begin the enrollment process.
  • Enter all inquiries and pertinent data into the database, ensuring accuracy and timeliness of information systems.
Responsibility #2: Enrollment

Ensure that youth are appropriately enrolled.

  • Conduct youth enrollments including parent and youth interviews & youth safety education.
  • Provide timely and comprehensive notes and recommendations for participation based upon assessments.
  • Conduct youth reassessments and updates.
  • Maintain accurate paperwork according to BBBSA and agency standards.
Responsibility #3: Match Support: Implement and develop strategic interventions to strengthen program outcomes
  • Through scheduled in-person, telephone and electronic contact, ascertain that the elements of child safety, match relationship development, positive youth development and volunteer satisfaction are fulfilled
  • Apply a high level of knowledge relating to child safety, risk management and agency policies and procedures throughout all aspects of job function.
  • Identify and address problems and barriers in match relationship development
  • Assess individual training needs, information and support needs for each match participant
  • Develop and staff match activities that offer volunteers and children a variety of opportunities for group interaction and agency affiliation
  • Implement and promote match activities to support ongoing volunteer involvement through individualized recognition, annual events, and reengagement strategies
  • Establish, monitor and meet goals for match length and customer satisfaction.
  • Participate in planning and achieving agency goals related to quality of program services
Responsibility #4: Recruitment and Partnerships

Market BBBS programs through recruitment and outreach efforts.

  • Distribute information about programs and services to families, volunteers, and the community
  • Represent BBBS at community events and presentations.
  • Collaborate with other service delivery staff to ensure smooth transition among functions.
