PURPOSE OF THE JOB
The Program & Events Assistant is responsible for assisting the Program & Events Manager in curating and coordinating excellent programming and events for the benefit of Plymouth Harbor residents, focusing mainly on the independent living population.
The schedule for this position is flexible but will include some evening and weekend hours, and on occasion working more than eight hours in a day or at a time not previously scheduled.
DUTIES/RESPONSIBILITIES
- Plan and implement a variety of bus trips and entertaining activities that meet the needs, desires, and interests of the independent residents of Plymouth Harbor. Ensure that these services are fully implemented. Attend trips as needed.
- Develop and maintain a database of unique destinations that would be of interest to Plymouth Harbor residents.
- Work closely with the Event Manager and the Transportation Coordinator to coordinate, communicate and implement group transportation to area events.
- Enter applicable resident charges to the internal billing program.
- Attend relevant resident committee meetings.
- Ensure that a master calendar of events is maintained, and that events and programs scheduled are coordinated/do not conflict with other services.
- Provide upcoming special events and program information to the Communications Coordinator in a timely fashion.
- Create and post event listings on internal communication platforms.
- Provide coordination and set up of internal and external events/programs, working collaboratively with supporting departments such as Dining Services, Etech, etc. when necessary.
- Be present, as requested, for meetings/presentations in Hobson Hall to troubleshoot and address issues that may arise with microphones, sound system, lighting, room temperature, etc.
- Discharge properly such other responsibilities and duties as directed by the Director.
SUPERVISORY RESPONSIBILITY
- This position has no supervisory responsibility.
QUALIFICATIONS
Education:
- Must have a high school diploma; bachelor’s degree preferred.
Experience:
- Must have minimum of two year’s employment experience providing events, programs/activities and/or social services in a retirement community or comparable senior setting, or experience as an event planner.
General:
- Must have good organizational skills.
- Must be a detail-oriented person and able to perform duties with great accuracy on a daily basis.
- Must have excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style; a style that inspires the respect of others and promotes a sense of trust in the individual’s competence.
- Must have good communication skills, speaking, writing, and listening.
- Must be fluent in English.
- Must be proficient with Microsoft Office programs with emphasis on Excel, Outlook, PowerPoint, Publisher, and Word, with the ability to learn and use proprietary software as required.
CERTIFICATES/LICENSES/REGISTRATIONS
- This position does not require any certificate/license/registration.

PHYSICAL REQUIREMENTS
- Must possess fully functioning sense of sight/hearing or use prosthetics that will enable these senses to function adequately in order to do the job.
- Must be able to sit, stand, walk, and move throughout the workday (lifting, carrying, bending, squatting, reaching, kneeling, pushing, pulling, twisting) using good body mechanics.
- Must be able to lift/push up to 25 pounds.
- Must be able to stand and walk for long periods of time.
- Must be able to cope with the physical and emotional demands of the position.
