Multi-Specialty, part of Optum, has an immediate opening for a friendly, patient-focused, and detail-oriented Part-Time Patient Services Representative to join our team. The role involves completing set processes and protocols, working cooperatively with the care team to support the organization's vision and mission, delivering excellent customer service, and adhering to Lean processes. The position supports the team in meeting financial, clinical, and service goals.

The Part-Time Patient Services Representative greets and registers patients promptly and courteously, instructs, directs, and schedules patients and visitors, receives payments, issues receipts, and posts payment data.

Schedule: The office is open six days a week. This role involves a 30-hour work week, between 11:00 am and close (approximately 9:00 pm). The schedule will be determined by the supervisor upon hire.

Primary Responsibilities:

  • Adhere to standards of professionalism set by the Practice
  • Maintain professional appearance and wear identification badge
  • Demonstrate courtesy and professionalism toward patients and staff
  • Respect confidentiality and comply with HIPAA regulations
  • Work as part of a team committed to quality patient care
  • Stay informed of policies, procedures, and standards of care
  • Attend mandatory meetings and complete required education
  • Handle difficult situations tactfully and escalate appropriately
  • Maintain punctuality and professionalism in attendance
  • Support peer training and assist colleagues to achieve office goals
  • Work independently, taking initiative to complete assignments
  • Complete miscellaneous tasks as assigned
  • Prepare the office for daily operations and communicate with clinical staff
  • Verify insurance eligibility and coverage, ensure accurate patient information
  • Provide and review registration forms, obtain signatures
  • Explain and provide authorization forms as needed
  • Determine patient balances and process payments securely
  • Encourage enrollment in the Patient Portal and provide After Visit Summaries
  • Manage daily collections and update systems accordingly
  • Assist with scheduling, cancellations, and referrals
  • Maintain supplies and organized environment
  • Close the office securely at the end of the day
  • Communicate effectively with internal and external customers
  • Demonstrate flexibility and a sense of urgency in duties

Required Qualifications:

  • High School Diploma/GED or higher
  • At least 1 year of customer service or healthcare-related experience
  • Intermediate computer proficiency, including multitasking on multiple websites and using dual monitors

Preferred Qualifications:

  • Experience as a healthcare receptionist
  • Experience with electronic health records (e.g., EPIC)
  • Experience with scheduling software
  • Basic medical terminology knowledge

Soft Skills:

  • Ability to work independently and in teams, with good judgment and accountability
  • Strong organizational and time management skills
  • Ability to multi-task and prioritize effectively
  • Work well under pressure in a fast-paced environment
  • Excellent communication skills, both verbal and written
