Responsibilities

Job description

CAMS, Community Association Management Services is looking for a part time (20 hour per week) motivated and detail oriented individual to service a community in Columbia, SC as their Architectural Review and Community Compliance Inspector. This position will work out of our main CAMS office in Columbia, 29201 requiring both office-based administrative work and field inspections using your personal vehicle. You will be able to submit mileage reimbursements to be paid for traveling for business inspections and receive a cell phone stipend for use of your personal phone while in the field.

Typical hours will be 9-2pm, or 10-3pm Monday-Thursday.

The pay rate for this position is $20-22 hourly, plus mileage reimbursements for conducting inspections and cell phone stipend.

The Architectural Review & Community Compliance Coordinator serves as the primary liaison between the Association, homeowners, builders, boards, and committees regarding architectural review and community compliance matters. This position is responsible for administering the architectural review process, coordinating committee activities, conducting community inspections, monitoring compliance with governing documents, maintaining accurate records, and communicating decisions and violations in a professional and timely manner.

Essential Duties And Responsibilities
Architectural Review Administration
  • Serve as the primary point of contact for Architectural Review Committees (ARC/ARB), homeowners, contractors, and builders.
  • Coordinate and manage the architectural review process from application submission through final approval.
  • Review incoming applications for completeness and ensure required documentation is provided.
  • Prepare architectural review packets, agendas, meeting materials, and supporting documentation for committee review.
  • Attend committee meetings, record detailed meeting minutes, and communicate committee decisions to applicants.
  • Draft and distribute approval letters, denial letters, and requests for additional information.
  • Maintain digital and physical records of architectural applications, approvals, denials, and supporting documents.
  • Update association software systems and document repositories with applications, decisions, permits, approvals, and related correspondence.
  • Assist in maintaining and updating architectural guidelines, forms, and homeowner resources.
Community Compliance and Inspection
  • Conduct regular community inspections to ensure compliance with governing documents, architectural guidelines, rules, regulations, and approved plans.
  • Drive through communities to inspect homesites, common areas, and construction projects.
  • Perform inspections related to new construction, property modifications, and community standards.
  • Identify, document, and monitor covenant and architectural violations.
  • Investigate homeowner complaints and compliance concerns as directed.
  • Perform follow-up inspections to verify corrective actions and closure of violations.
  • Document inspection findings using tablets, mobile applications, cameras, and association management software.
  • Conduct final inspections for completed projects and present findings as necessary.
Communication and Coordination
  • Serve as a liaison between homeowners, board members, architectural review committees, association managers, builders, contractors, and vendors.
  • Communicate compliance concerns, architectural decisions, and project status updates professionally and consistently.
  • Respond promptly to phone calls, emails, and correspondence related to architectural review and compliance matters.
  • Educate homeowners regarding governing documents, architectural standards, approval requirements, and compliance expectations.
  • Keep management and committees informed regarding pending applications, compliance trends, construction activity, and unresolved issues.
Administrative and Reporting Functions
  • Maintain accurate records, reports, and tracking systems related to architectural review and compliance activities.
  • Process and track application fees, deposits, fines, and related documentation as required.
  • Generate reports for boards, committees, and management regarding compliance activity, architectural applications, and project status.
  • Assist with special projects and administrative duties as assigned.
  • Support overall association operations through effective recordkeeping, document management, and communication.

  • General understanding of contracts, construction documents, site plans, permits, covenants, and architectural review processes.
Physical Requirements
  • Ability to work both indoors and outdoors in various weather conditions.
  • Ability to drive throughout multiple communities and exit vehicles to perform inspections.
  • Ability to walk community properties and construction sites when conducting inspections.
  • Ability to lift and carry materials up to 25 pounds occasionally.
Licensing and Transportation
  • Valid driver's license with a clean driving record.
  • Reliable transportation with proof of current insurance and registration.
  • Must maintain an acceptable driving record throughout employment.
Preferred Qualifications
  • Experience in homeowners association management, architectural review, compliance administration, construction, planning, or related fields.
  • Knowledge of HOA governing documents and covenant enforcement procedures.
  • Experience with SharePoint, Vantaca, or similar association management platforms.
  • Familiarity with construction plans, site plans, architectural drawings, and permitting processes.
