Job summary

Cataldo Ambulance is seeking a Part Time Scheduling Coordinator to assist in staffing and scheduling of field based EMTs and Paramedics. This on-site role in Malden Center provides evening coverage with a Monday-Thursday 3:30pm-8:30pm schedule.

You will work closely with dispatch, field supervisors, and HR to ensure proper staffing, maintain hours policies, and generate reporting. EMS scheduling experience and MA licensure are valued.

Qualifications

• High school diploma or GED required.
• 1-3 years Scheduling/Administrative/Dispatch experience in EMS or medical/public safety environment preferred.
• Experience with scheduling software and time/attendance systems.
• Proficient with Microsoft Office; strong attention to detail and confidentiality.

Responsibilities

• Build, publish and manage employee schedules to ensure adequate coverage across shifts and locations.
• Ensure all ambulance shifts are staffed with appropriate experience, skill level, and certifications.
• Process staffing requests for shift swaps, giveaways and call outs with timely approvals or denials.
• Manage time off requests and approve/deny based on staffing levels.
• Coordinate with field team members to set schedules and communicate changes.
• Ensure MA Certifications are current and notify operations of expirations.
• Maintain scheduling system accuracy and timely changes per pay period.
• Track hours worked and ensure policy compliance for each employee.
• Collaborate with dispatch and field supervisors for next-shift planning and moves.
• Monitor holiday staffing and maintain reporting of staffing KPIs.
• Produce staffing/attendance reports for leadership and HR.
