Job summary

Brooklyn Waldorf School is seeking an Auxiliary Program Coordinator to manage the Grades Afterschool Program—scheduling, enrollment, staffing, timesheets, family communications, and supervision on-site at 11 Jefferson Ave, Brooklyn, NY. This part-time, non-exempt role runs Mon–Fri, roughly 30 hours weekly from 12:00–6:00 p.m., with occasional evening events.

Qualifications

  • Experience working in an afterschool, extended-day, youth, or school-based program environment.
  • Strong organizational, planning, and time-management skills.
  • Ability to manage multiple priorities in a dynamic school environment.
  • Strong written and verbal communication and interpersonal skills.
  • Proficiency with Google Workspace and the ability to learn school registration, database, and related technology systems.
  • Ability to work collaboratively and professionally with children, families, faculty, staff, and community members.
  • Understanding of, or openness to learning about, Waldorf education and pedagogy.
  • Sound judgment and the ability to identify and appropriately elevate safety, student, family, or staffing concerns.

Responsibilities

  • Coordinate the daily operation of the Grades Afterschool Program, including student transitions, attendance, dismissal, staff schedules, classroom assignments, and student coverage.
  • Provide direct supervision and care of students and remain on-site until all students have been safely dismissed.
  • Coordinate age-appropriate program offerings with faculty and relevant pedagogical leadership.
  • Work with the Music Director to coordinate the supervision and movement of students attending afterschool instrument lessons.
  • Support a safe and appropriately supervised afterschool environment.
  • Ensure afterschool staff understand and follow emergency, attendance, dismissal, incident-reporting, and classroom-use procedures.
  • Coordinate classroom and shared-space schedules and ensure spaces are used and returned in accordance with school procedures.
  • Escalate significant student, family, staffing, or safety concerns to school leadership.
  • Maintain accurate registration forms, emergency information, attendance records, incident reports, enrollment data, and other program documentation.
  • Coordinate registration, billing information, and enrollment updates with the Business Office.
  • Track enrollment and program participation to support staffing, scheduling, and approved program budgets.
  • Communicate attendance information for students participating in instrument lessons or other related programming.
  • Serve as the primary program contact for families and respond to routine questions or concerns.
  • Partner with pedagogical leadership and faculty to align auxiliary programming with school priorities.
  • Develop program descriptions and collaborate with the Communications team on registration materials and family communications.
  • Participate in relevant meetings related to auxiliary and afterschool programming.
  • Support school-wide events, festivals, and community activities, including event setup and breakdown as assigned.
  • Coordinate childcare arrangements for designated school evening events.
  • With advance scheduling and approval, provide occasional support outside regular program hours for school events or activities related to the role.
  • Support the planning and coordination of the School's Summer Camp Program for Summer 2027, including schedules, staffing, registration, family communications, space coordination, and required documentation.
