Qualifications

Responsibilities

  • Process Daily Work folders accurately and efficiently.
  • Prepare tribute and memorial acknowledgements utilizing clear and professional handwriting.
  • Complete address changes and other light donor database maintenance activities.
  • Maintain organized filing systems for Advancement records and documentation.
  • Stuff, fold, sort, and prepare donor acknowledgement letters and related mailings when donation volume increases.
  • Provide light clerical and administrative assistance to Advancement staff.
  • Assist with copying, scanning, assembling, and distributing documents as assigned.
  • Support donor stewardship efforts through accurate administrative processing and record maintenance.
  • Maintain confidentiality of donor, constituent, and organizational information.
  • Perform other duties as assigned by the Manager of Advancement Administration or Advancement leadership.

Job Title: Part-Time Advancement Services Assistant

SUMMARY

The Advancement Services Assistant provides seasonal administrative support to the Advancement Department through accurate processing of donor-related records, tribute acknowledgements, filing, mail preparation, and general clerical functions. This position helps ensure donor information is maintained accurately, and donor communications are prepared in a timely manner. Working no more than sixteen (16) hours per week, the Advancement Services Assistant supports the Advancement team during periods of increased activity while helping maintain excellent donor stewardship and operational efficiency.

QUALIFICATIONS:
  • Personal commitment to Jesus Christ and alignment with the statement of faith of BCH.
  • High school diploma or equivalent required.
  • Previous administrative, clerical, office support, or customer service experience preferred.
  • Strong attention to detail and accuracy.
  • Neat, legible handwriting required for tribute and acknowledgement correspondence.
  • Basic proficiency with Microsoft 365 applications and general computer systems.
  • Ability to learn and utilize donor database software for simple record maintenance and updates.
  • Ability to maintain confidentiality and handle donor information with discretion.
  • Must meet the general requirements for employment with Baptist Children’s Homes of N.C., Inc.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain confidentiality of donor, constituent, and organizational information.
  • Perform other duties as assigned by the Manager of Advancement Administration or Advancement leadership.

EQUIPMENT:

Ability to operate standard office machines such as copier, computer, calculator, scanner, and other office equipment. Ability to work within Outlook, Excel, Word, and Teams software programs.

Ability to read, analyze, and interpret general information and communicate effectively with colleagues, donors, volunteers, and the public.

CONTACT WITH OTHERS:

Regular contact with Advancement staff, volunteers, donors, and individuals from other departments. Must represent Baptist Children's Homes of NC, Inc. in a positive and professional manner.

MENTAL / VISUAL / AUDITORY DEMAND:

Ability to follow written and verbal instructions, maintain attention to detail, and communicate effectively in person and by telephone.

CONFIDENTIAL DATA:

Complies with agency policies and procedures concerning confidentiality, including donor records and personnel information, which if disclosed could have adverse internal and external effects.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to sit, stand, walk, use hands and fingers, and occasionally lift and carry up to 15 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
